Mailchimp Integration

Mailchimp is a platform for creating mass email marketing campaigns. Using the Neos Mailing List and Mailchimp integration, firms can leverage their growing client bases to keep them up-to-date on any new or pertinent information and keep clients engaged by automating the tedious and never-ending work of contact management and syncing.

The Mailchimp integration provides the following features/benefits:

  • Leverage your firm's Parties and Providers to create Neos-managed lists in Mailchimp's Marketing Campaigns.

  • Create new lists that can be replicated to Mailchimp.

  • Streamline your firm's contact management with the ability to add all Parties from a Case to a new or existing mailing list.

  • Increase the ability to market effectively with your Neos Mailchimp Parties and Providers lists, containing all necessary information to effectively segment and group contacts.

  • Create Mailchimp segments, allowing your firm's Mailchimp admin to effectively leverage Neos information.

Mailchimp Integration Requirements

    NOTE: A paid account is strongly recommended to properly configure the Neos Integration audience between Neos and Mailchimp.

How it works

Neos allows users to create Mailing Lists which will automatically be housed in a single audience in Mailchimp titled "Neos Integration." Members of this managed Mailing List will be synced to MailChimp automatically with the following information:

  • Name

  • Email Address

  • Address

Additionally, Neos will add Mailchimp tags based on Neos data points allowing users to segment and target specific audiences in Mailchimp. Data points include records such as "roles" and "case types" which belong to members, and Neos users can modify which data points are synced at any time in the Neos MailChimp Integration settings page. Navigate to Mailchimp's Help & Support to learn more about using tags and creating your firm's Mailchimp audience.

Set up Mailchimp in Neos

Before configuring your Mailchimp account with Neos, check to make sure that your firm's address (Name, Address 1, City, State, or Country) is set in the Firm Preferences > Firm Address Tab. Without this information, the audience cannot be created in Mailchimp and an error banner will display.

To connect your firm's Mailchimp account with Neos:

  1. Your firm's Mailchimp Administrator should navigate to Settings > Integrations and select the Mailchimp option from the left pane.

  2. Click the Set up Mailchimp button.

  3. A Create Mailchimp Audience window will display. Click Continue to allow Neos to create a 'Neos Integration' audience in Mailchimp.

  4. A window will display prompting for your firm's Mailchimp Username and Password. Click the Log In button when complete.

    NOTE: If your firm does not have a Mailchimp account, click the Create An Account button to create one.

  5. On the next screen, click the Allow button to authorize Neos access to your firm's Mailchimp account.

  6. When the connection is successful, the Mailchimp window will close.

  7. In Neos, the Connection Status will change to 'Active' and the Audience will change to 'Found'. When the audience exists in Mailchimp, the Create Audience button will be disabled (even if the integration is disabled and enabled again).

  8. Navigate to your firm's Mailchimp account to see the created 'Neos Integration' audience.

NOTE: The Audience can be renamed in Mailchimp Audience Settings.

If the Neos Integration audience is deleted in Mailchimp or has never been created, the screen will show an Active Connection Status but the Audience will show 'Not Found'.

Click the Create Audience button where you must agree to the creation of the Neos Integration audience.

NOTE: The Free Mailchimp account only allows for one audience, which is automatically created using your Firm Name in Mailchimp as the default. When the Create Audience button is clicked, Neos will attempt to create the 'Neos Integration' audience (a second audience in your firm's paid Mailchimp).

Mailchimp Settings

The Settings button displays the Mailchimp Sync Settings, which determines the tags that can be created in Mailchimp. These tags are used to target specific audiences when creating campaigns in Mailchimp. Tags are only created in Mailchimp when entries in the selected settings are applied to a contact, e.g., Larry Smith has a Party Role of Plaintiff, which is created as a Tag in his contact details screen in Mailchimp.

For example, your firm may want to create a campaign that targets contacts within the MVA Case Type. When 'Case Types' is selected here and all contacts from the Managed Mailing List that are a Party in an MVA Case, a tag called 'MVA' will be listed in their contact information in Mailchimp.

NOTE: When the sync settings are turned off and back on (unchecked and rechecked), your contacts will be resynchronized.

Click the Save button to keep your settings.

NOTE: If changes are made in Neos to entries of synced settings, e.g., Case Type name change, Party Role name change, etc., the existing tags will not be updated in Mailchimp, however, a new tag will be created with the updated information. Your firm's Mailchimp Administrator must handle the tag changes to ensure data matches between Neos and Mailchimp.

For example, if a Case Type is changed in Neos from MVA to 'MA', the existing 'MVA' tag in Mailchimp will remain as such and a new tag for 'MA' will appear. The same goes for selecting a different option,e.g., Party Role. To keep your tags current with Neos data, the admin should manually revise tags as needed. Refer to Mailchimp's Help Center > Audiences for Getting Started with Tags. Removing tags in Mailchimp will not sync any changes back to Neos data.

Your firm's Mailchimp account is now connected to Neos! To sync Neos contacts to the created 'Neos Integration' audience in Mailchimp, set up your Managed Mailing List [link to Create Managed Mailing Lists].
