OneDrive Integration

ADMINISTRATOR-ONLY SETTINGS

Neos connects with your firm's OneDrive. This integration is used in conjunction with the Documents tab of a Case or Provider. When integrated properly, documents can be added and generated in Neos, then viewed and edited directly in your firm's SharePoint. OneDrive and SharePoint are connected programs within Microsoft 365.

NOTE: At least one document must be added to the Case or Provider Documents Tab in order for the Case or Provider Folder file to be created in your firm's SharePoint CaseFiles or ProviderFiles document library.

NOTE: If your firm has enabled multifactor authentication (MFA) for Microsoft 365, OneDrive will need to be reactivated in Neos.

The OneDrive integration MUST be completed by your Neos Firm Administrator/Microsoft 365 Administrator. They must have full administrative permissions to General Entity > Interfaces in order to access Integrations.

The administrator should first create a new Microsoft 365 global admin account (e.g., [email protected]). The global admin account does not need to have a product license attached. They should also have access to the login credentials. This should be the same admin account created when configuring the Microsoft Office 365 integration.

NOTE: The Microsoft Office 365 integration must be connected first before connecting the OneDrive integration. If connected out of this order, staff may lose access to shared calendars.

To connect your firm's OneDrive account with Neos:

  1. Open a new incognito window in your Chrome browser.

  2. Log in to Neos with your personal credentials.

  3. Select Settings > Integrations and click the One Drive Integration option from the left pane.

  4. Click the Connect button.

  5. A separate Microsoft login window will display. Enter the Microsoft credentials for the new Microsoft 365 global admin account that was created and click Sign in. You may be prompted to verify your identity using Text or Call. You may choose to stay signed in to Office 365 by clicking Yes or No. When either option has been selected, the window will automatically close and you will be returned to Neos.

  6. Your firm's OneDrive will display as connected in Neos.

To disconnect your OneDrive from Neos, click the disconnect link.

NOTE: When the OneDrive link is disconnected from Neos, you will not be able to add/generate new documents or open documents from a Case or Provider Folder.

Transitioning Firms

If your firm is transitioning from Needles 4.x or 5 to Neos, the CloudDocs SharePoint site has already been created within the SharePoint Transition Tool. Once your OneDrive is connected to Neos, go to Firm Preferences > Documents to specify the document libraries you wish to use for Case Folders, Template Folders and Provider Folders. New Firms

If your firm is new to Neos and you do not have Needles 4.x or 5 data to migrate, Neos can create your CloudDocs SharePoint site after your OneDrive account is connected.

Before creating the CloudDocs site in Neos, go to Firm Preferences > Documents to check if your firm's SharePoint site is already configured and pointing to the right document libraries.

NOTE: If your firm used the SharePoint Migration Tool DO NOT click the Create Site button; your SharePoint CloudDocs site and document libraries have already been created.

If the CloudDocs site and/or document libraries cannot be found when browsing in the Firm Preferences > Documents tab, use the following steps to create them and automatically link with Neos:

  1. Once your firm's OneDrive is connected, click the Create Site button within Settings > Integrations > OneDrive Integration.

  2. A new site will be created in your firm's SharePoint called CloudDocs.

  3. Three document libraries will be created under the CloudDocs site: CaseFiles, ProviderFiles, TemplateFiles.

  4. The Firm Preferences > Documents tab will automatically be updated to show the CloudDocs site and document library for each area.
