When the date or time is changed on an Outlook event is associated with a Case/Intake, a new Reschedule Case Event workflow will trigger. Within the workflow, you'll have the option to keep a record of your original event. When a record is kept, that original event is created as a non-Outlook event, which means it will only be visible in the Case Calendar of that linked Case/Intake. These non-Outlook events are distinguishable as an "Archived Event" in the Case Calendar Tab.
To reschedule an event, click the Edit button on the popup or double-click to open the Event Details window.
Rescheduling an event on your calendar where you are the organizer will reschedule it for all attendees.
Rescheduling an event on any calendar where you are NOT the organizer but do have 'Can edit' permissions to the organizer's calendar, then it will be rescheduled for user's calendar.
Rescheduling an event on your calendar where you are NOT the organizer and you do not have 'Can edit' permissions to the organizer's calendar, then you cannot edit the Event Details.
Single Outlook Event With Case/Intake
As soon as the Start or End Date or Time is changed, the Reschedule Event window will display. You can choose to keep a record of the original event in the Case Calendar Tab of the associated Case/Intake for your records. This event will NOT appear in Outlook and will be deemed an "Archived Event".
Use the slider to keep a record of the original event (enabled by default). When enabled, the Status dropdown will display where you can set the status of the original event. The Status dropdown shows a list of active statuses from the Appointment Status Mini Directory. Status is an optional field.
Click Reschedule to reschedule the event to the new date/time for all attendees' calendars.
• Keep an archive of the original event in the case calendar will keep the original event on the Case Calendar Tab (see below).
Click Discard Changes to abort the event reschedule and keep the original date/time on all attendees' calendars.
Click Save to keep your changes.
Recurring Outlook Event With Case/Intake
When attempting to reschedule a recurring event, confirm whether you would like to edit the entire series or the selected event only. Refer to Modifying an Event. If Edit this event only is clicked, follow the process above for the Reschedule Case Event window.
If Edit entire series is clicked, a Reschedule Case Event Series window will display.
Click Reschedule to reschedule the event to the new date/time on all attendees' calendars.
Click Set End Date to open the Recurrence window where you can set an end date on the recurring event. Your Start/End Date/Time changes will be reverted.
Click Discard Changes to abort the event reschedule and keep the original date/time on all attendees' calendars.
