Documents that have been added to the Case Documents Tab can be sent out for electronic signature using the integration with DocuSign®. Only files up to 25MB can be sent to DocuSign and completed attached documents up to 5MB can be sent to emails by DocuSign to recipients. Refer to your firm's DocuSign account to configure your DocuSign user notifications for senders and recipients.
NOTE: In order to utilize this feature, your firm must be connected to DocuSign® within Neos Integrations.
To send a document to DocuSign®:
From within the Documents Tab list view of a Case, hover over the desired document and click the down arrow menu to the right of the Details button. Click Send to DocuSign®.
NOTE: This option will be disabled if the DocuSign integration is disconnected.
On the Request Document Signature window, select the Signers and enter a Subject for the email. The Case Number – Case Title and File Name will display by default. If the Case Title does not exist, the first Party Name is displayed.
The Signers field is required and must be entered to access the Send to DocuSign button.
NOTE: An email is sent from Neos to the selected signers via DocuSign. Ensure the necessary email address has been added to the corresponding person/company within Neos.
Click the Send to DocuSign® button.
NOTE: If the DocuSign integration is disabled, the Send to DocuSign® button will be disabled. Navigate to Settings > Integrations to enable the integration.
A new Add Fields DocuSign tab will open in your browser with the document. Use the left pane to insert the fields needed for this document. Multiple signature fields can be added and configured in the Recipient field in the far right pane. This allows each recipient to only have access to the DocuSign fields that require their attention. Configuring multiple signers and signing order can only be accomplished directly inside of DocuSign. Refer to the DocuSign Add Recipients article for more information.
NOTE: If DocuSign tags from Neos already exist in this template, use the Document Generation process to generate a new document from a Word or PDF template in Neos and simultaneously email and text it to the selected signers. DocuSign tags will only be included in a document when sending to a recipient during the Document Generation process.
When using the Send to DocuSign feature for an existing document, all DocuSign tags (e.g., Initials, Date Signed, Signature, etc.) will have to be manually added in DocuSign, regardless if they exist in your original template.
When complete, click the Send button to send this document via DocuSign® to the selected Neos signers.
NOTE: The document can be sent without DocuSign fields but you will be prompted if none exist.
A success message will display when the configured document has been sent.
The sent document can also be viewed in your firm's DocuSign account by selecting Waiting for Others or the Manage tab.
Your most recent requests will be listed. Additional functionality is available from the down arrow on the far right.
NOTE: If the Discard button under Actions is clicked in DocuSign, the integration is NOT broken, Neos is simply reacting to the canceled "Send to DocuSign®" request.
Signers will receive an email from your firm's linked DocuSign account showing the account name of the linked email used with DocuSign.
When the signer clicks Review Document, a new tab will open in their browser with instructions to complete the document in DocuSign. The signer must first review and select the checkbox for DocuSign's Electronic Record and Signature Disclosure.
NOTE: Recipients can use an alternate signing method by entering the code at the bottom of the email on DocuSign.com > Access Documents.
Once all signers have completed the document, it will be automatically uploaded as a PDF back to the Case Documents Tab with "_signed.pdf" appended to the file name. DocuSign® will also email a PDF copy of the signed document. The document is automatically related to the original.
Click the file Name of the signed PDF to view it in your firm's SharePoint. The following image is an example of a signed document.
