Addresses are displayed in a grid on the Contact for a Person or Company. The Addresses section allows the tracking of an unlimited number of addresses per name. One address is designated as the Default Address, which is typically the one used in name listings (e.g., search results, form documents, and reports).
NOTE: You must have Add permissions to Name Details > Addresses.
The Addresses grid will be collapsed by default if there are no addresses for a Contact.
To enter a new address:
Type – Select the Address Type (Home or Business) from the drop-down list. Custom Types can be added by typing the desired entry into the Address Type field (e.g., Other, Vacation). Only one address per type is allowed. This is a required field.
Salutation – Enter a customized salutation, if desired.
TIP: The Salutation field is useful for customizing correspondence. Rather than coding a document to read "Dear {Prefix} {Last Name}", a document can be addressed to "Dear {Salutation}". The salutation field can be different for each address. For example, letters sent to the home may be addressed "Dear Mr. and Mrs. Adams", while letters sent to the business address may be addressed "Dear Mr. Adams".
Contact/Company Name – If the address is for a Person-type record there will be a Contact field available. Enter the name of the Contact person to whom calls or correspondence should be directed.
If the address is for a Company-type record, there will be a Company Name field. Enter the business name for this address.
Address – Enter the street address. This is a required field.
Zip code – Enter the required 5 or 9-digit zip code. The associated City, State, County, and Country will automatically populate when a 5-digit zip code has been entered. Return to the Zip code field to include the additional 4 digits, if necessary. For zip codes that contain multiple cities, use the City dropdown to select the appropriate city.
City – Enter the city. This field will become a single-select dropdown when the Zip code has been added. NOTE: Cities linked to corresponding zip codes cannot be modified. Confirm the desired city is associated with the selected zip code. For zip codes that have multiple cities, the dropdown now allows custom values to be added. The custom value will be saved for that address. The custom value will have to be retyped to use in another address. To remove the custom value, select a different city, add a different custom value, or delete the address.
State – Select the state from the dropdown.
County – Enter the county.
Country – Enter the country.
Default – Select the check box if the address should be used as the default when listing, reporting, or merging documents. The first entered address will be listed as the default.
3. Click the Save button to insert the address into the Addresses section. Click the Cancel button to abort the insertion.
4. Click the Save Changes button to keep your changes.
