Neos supports Two-Factor Authentication (2FA) to give your firm an additional layer of security. Two-Factor Authentication can be enabled by administrators for all users in Firm Preferences or for individual users in Staff Profiles. An authorization code will be sent to a user's email or mobile phone number from their Staff Profile. Once successful, the user can be remembered by Neos for 30 days. You can easily monitor Two-Factor Authentication for your firm using a link from Firm Preferences to the Staff Directory.
If your firm uses the Neos add-ins for QuickBooks, Word and/or Outlook, each Staff must update to the latest add-in versions before Two-Factor Authentication is turned on to continue accessing these integrations uninterrupted.
Neos for Word Desktop add-in: No update is needed at this time. If enabled, 2FA will be bypassed.
NOTE: You must have full administrator permissions (Enable, Add, Edit, and Delete) to General > Firm Preferences and Directory > Staff Directory to enable or disable 2FA in Firm Preferences.
Two-Factor Authentication can be turned on globally for all users in your firm from the new Security tab in Firm Preferences.
To enable Two-Factor Authentication for all firm users:
Click the Settings button on the left navigation pane and select Firm Preferences.
Select the Security tab for Two-Factor Authentication. By default, this feature is turned off.
Click the slider to turn on 2FA for all firm users.
Confirm your selection on the following message.
For any staff who do not have a mobile number or email saved to their Staff Profile, upon next login, they will receive a prompt to enter their mobile number to be sent an authorization code. Neos will add the Staff's mobile number to the Mobile field in their Staff Profile. Refer to Two-Factor Authentication By Staff for more details.
A message will display when Two-Factor Authentication (2FA) has been enabled for all users in your firm.
The Two-Factor Authentication slider will display as ON.
Click the View Entire Staff List button on the top right of the Security tab to open a new tab in Neos showing a list of your firm's Staff. This read-only view contains columns for Email Address, Mobile Phone Number, and Two-Factor Enabled. Use this list to check which Staff have an Email and/or Mobile phone saved to their profile and if they have Two-Factor Authentication enabled.
Click a row to make changes to a particular staff. Although 2FA may be enabled globally for all firm users, administrators can manually disable 2FA for individual users.
NOTE: Two-Factor Authentication is turned on globally and turned off globally. This means that if 2FA is disabled for individual staff, then turned off globally, when/if it is turned back on in Firm Preferences, it becomes enabled again for ALL staff.
To disable Two-Factor Authentication for the entire firm:
Click the Settings button on the left navigation pane and select Firm Preferences.
Select the Security tab for Two-Factor Authentication.
Click the slider to turn off 2FA for all firm users.
Click the Yes button to disable Two-Factor Authentication for all users in the firm.
Click the No button to abort and keep 2FA turned on for the firm and set users.
4. A message will display when Two-Factor Authentication (2FA) has been disabled for all users in your firm.
