Neos Essentials

Neos Essentials helps firms optimize matter management with standard intake forms, robust document management, and automated and batch document generation. Other features include activity feed and checklist, configurable case types, workflows, calendaring, dashboard reporting, and communication, and optional eSignature integrations.

Neos Premium includes everything in Neos Essentials plus PDF editing, redacting, and annotating directly in Neos. In addition, OCR technology can search for PDF content and includes Version History for PDF and Microsoft document files. Other features include the ability to merge multiple documents into a single PDF, comment for easy collaboration, and apply Bates stamping.

NeosAI Platinum includes everything in Neos Premium plus fully loaded document management, automation, and advanced intake features. Additional features include dynamic and customizable intake forms, workflows and process automation, lead ROI and revenue tracking dashboards, and the ability to track marketing campaigns and leads.

NeosAI Platinum also includes NeosAI, Neos Premium Texting, and savings of $600 on integration fees for RingCentral or Zoom Phone and Cost Recovery (Copitrak, Equitrac, Konica Minolta, Papercut).

Network and Connectivity Configuration

Virtual desktops (e.g., VMware) and VPN connectivity are NOT recommended for use with Neos. This configuration does not provide any additional security and may impact overall Neos performance. Neos delivers the best experience when users connect directly from their physical machine to the SaaS deployment of Neos.

The following integrations are required to use Neos and perform functions within Calendar, Documents, Texting, and Emails.

Microsoft 365® Email

The Neos Calendar requires a Microsoft 365® Outlook Email Mailbox for each user. Additionally, the Microsoft 365® Integration requires activation by a designated Global Admin account. Each user's Outlook email must be activated in their Staff Profile, which is also used to send texts and emails from Neos.

Recommended:

Using a new Global Admin Account reduces the risk of the account becoming compromised or disabled and lists file activity associated with Neos to the Global Admin Account.

Microsoft 365® SharePoint

Documents relating to a Case, Provider, or Template are stored on your firm's Microsoft 365® SharePoint site. Your firm's Clouddocs site will contain three document libraries: CaseFiles, ProviderFiles, and TemplateFiles.

OneDrive® Integration

Neos connects with your firm's OneDrive®, which is used for adding and generating Case or Provider documents that can then be viewed and edited directly in your firm's SharePoint.

Using a new Global Admin Account reduces the risk of the account becoming compromised or disabled and lists file activity associated with Neos to the Global Admin Account.

Neos integrates directly with your firm's American Retrieval© account for digital medical record retrieval and their full suite of text search and editing tools using OCR technology. Dedicated account service professionals will help your firm manage the full retrieval process. American Retrieval will work with your firm to configure your account and portal with the Neos integration.

Captorra Integration

Neos integrates directly with your firm's Captorra subscription to manage leads and Intakes. When the integration is enabled, a token is created for Captorra to access your firm's Neos API. Intakes will be imported to Neos using fields from the Intake Layout Manager.

Case Status© Integration

Neos integrates with your firm's Case Status subscription. Case Status is an industry-leading client application portal and messaging platform for law firms. Using this integration, your Neos Case information will automatically sync with Case Status, allowing your clients to see real-time messages that correspond with case updates and checklist items. Additionally, firms can track client satisfaction, trigger automated mass communications, and provide a firm-branded mobile app for clients.

Neos integrates directly with your firm's CasePulse© subscription. Using this integration, firms can communicate with clients, share files, and send messages from the CasePulse client portal, all of which are captured in Neos.

Neos integrates with your firm's ChartSquad subscription. ChartSquad is a secure and fast medical record retrieval platform that will help reduce the costs of record retrieval and adhere to record management Federal Laws. Using the integration, your firm will use a private account for submission requests with the ability to store, track, manage, and share records.

Neos integrates with your firm's existing cost-recovery solution (e.g., Copitrak®, Equitrac®, Papercut©, or Konica Minolta©). Seamlessly track and recover costs associated with a Case (e.g., printing, scanning, postage, etc.).

Custom Reporting

Standard reports can be modified using the Report Editor in Neos. New reports can be created from Master Report Templates, Custom Dashboard Tiles, and Advanced Search. Document generation templates can be created using the Word Add-in.

In addition to this robust functionality, users can request custom reports, settlement memos, and coded document templates using Assembly's paid service to meet the needs of your firm. Separate requests must be submitted for each desired report/template.

Digital Disbursements© Integration

Neos integrates with Digital Disbursements, a leading digital payment platform that enables your firm to send and track electronic disbursements (e.g., ACH, PayPal, eDebit cards, etc.) to your clients using a trust account with Digital Disbursements' banking partner.

eLaw© Integration

eLaw is a web-based docketing and calendaring software used by legal professionals in New York and New Jersey. It enables attorneys to search, monitor, and manage active and archived cases, dockets, and court calendars in the trial courts.

Neos integrates with eLaw to sync court appearances and motions from those courts to linked Neos Cases using the eLaw Watchlist. Future Appearances are added to the Neos Case Calendar as events, and Motions are added to the Neos Case as Dynamic Layouts.

Neos integrates with your firm's LawToolBox subscription. Using this integration, your firm can automatically calculate deadlines that adhere to specific jurisdiction court rules and deadlines such as statutes of limitations, filing deadlines, and discovery deadlines.

Created deadlines will be added to the Case Calendar Tab and can be shown in the Neos Calendar. Reminders can be triggered for each deadline and Notifications can be displayed per Staff Profile settings. Deadlines are reportable via Advanced Search and are automatically calculated in the Case Tab using mapped trigger dates.

Neos integrations with your firm's Legal Intake Professionals Integration, specializing in inbound call handling and qualifying intake leads. Their 24-hour bilingual-trained professionals will engage with potential clients, gathering necessary information to ensure an efficient and effective intake process. Firms can access their online portal and robust reporting.

Neos integrates directly with your firm's Lexitas™ subscription to aid in records collection. When the integration is enabled, a token is created for Lexitas to access your firm's Neos API.

Mailchimp© Integration

Neos integrates directly with your firm's Mailchimp© subscription to create email marketing campaigns. Neos contacts in managed mailing lists are synced to your firm's Mailchimp account. Tags are created based on settings, which can be used to segment and target specific audiences in Mailchimp.

Neos Premium Texting

Using a dedicated phone number, firms can send and receive text messages directly in Neos. Text messages are automatically logged in the Communications Center and Notes Tab. Multiple staff can easily collaborate on a single text conversation. Anyone assigned to the Case can respond and will be notified of received texts in Neos.

On-Demand Backup

Firms can request or schedule a secure download of their data using a tiered subscription (daily, weekly, or monthly). Firm data will continue to be regularly backed up as part of our standard backup and recovery process included in your Neos subscription.

Outlook Add-in

The Neos Outlook add-in enables emails and attachments to be filed to Cases and Providers. Linked Case or Provider information can be reviewed.

Once the Neos for Outlook app is installed, it can be used in Microsoft Outlook Online, Desktop, and on your mobile or tablet device.

QuickBooks® Online Integration

Enhance your firm's accounting capabilities with the convenience of Neos and QuickBooks Online. Value transactions and Time entries attached to Cases are shown in the Accounting Tab, which keeps a record of all pending and posted transactions for all Cases. Send check and deposit requests and link Parties and Providers from Neos as Customers and Vendors to QuickBooks Online.

The Neos QuickBooks Integrator is a bidirectional link between Neos and QuickBooks SDK. Using the integration, you can send check and deposit requests from Neos and post specific records to QuickBooks. Parties and Providers from Neos can also be added and linked as Customers and Vendors in QuickBooks.

Neos integrates directly with your firm's RingCentral© subscription. Using the widget, users can dial or receive calls directly in Neos. Callers are automatically matched to existing Cases and Contacts. If a caller does not exist in Neos, start a new Intake instantly from the RingCentral widget. Track all calls in the Communications Center, automatically add a Case Note for the assigned call, and create a billable Time entry.

The Stamps.com® integration triggers a workflow in Neos to create postage and shipping labels for Parties and related Contacts in a Case using your firm’s existing Stamps.com account. The total cost can be automatically saved as an expense to the Value Tab and a Case Note can be added with all configured postage information. This integration can be used when sending mailings to your firm’s clients or providers in a Case, saving staff significant time.

Calls can be initiated from a phone number within Neos using any IP-based phone system. Firms that already have a RingCentral subscription can utilize the Neos RingCentral Integration (noted above).

Time Tracking

Neos includes time tracking for firms that wish to track time spent in a Case. Time can be tracked using the Automatic Timekeeper or added manually and saved on the Time Tab and/or Value Tab for billing purposes.

Word Add-in

Document Generation is available by creating Templates using the Neos for Word app via Microsoft Word Online or Desktop. Templates use special tags that are replaced with your Neos data during document assembly.

YoCierge Integration

Neos integrates with your firm's YoCierge subscription. YoCierge is a medical records retrieval platform that offers live request tracking, fast turnaround, and record portability. Their flat fee pricing structure includes all medical billing, radiology images, and radiology reports. YoCierge makes obtaining signed HIPAA forms fast and easy with their included YoSign e-Authorization tool. Your firm will be appointed a single representative who will serve as the point of contact for all communication with YoCierge.

Neos integrates directly with your firm's Zapier© workflows. This Intake Pro integration can be configured to send Intake leads from different sources into Neos as new Intakes. Triggers and actions (i.e., Zaps) are accessible in Neos and configured in Zapier. When the integration is enabled, an authentication token is used for connecting Zapier to your firm's Neos account.
