This article describes the process for copying or moving documents to other cases, editing many document entries at one time, and downloading multiple documents as a zip file. Multiple documents can be selected from either the Detail List View
or the Case Folder View
to perform bulk actions.
Refer to Deleting Documents for more details on deleting documents. Refer to Emailing Documents for more details on emailing documents.
NOTE: The permissions required for Moving Documents to Other Cases and bulk Edit are noted below.
Copying Documents to Other Cases
To copy one or more documents to other cases:
On the Case Documents Tab, use the check box to select the document(s) you wish to copy.
Click the Bulk Actions dropdown and select Copy to Other Case(s).
Select one or more Cases from any open cases or Companion Cases on the Case Selection window. You may also click the Search button to select a different Case in your Neos database.
Click the Save button to proceed or click the Cancel button to abort the Copy Document(s) process.
Confirm the selected case(s) by clicking Yes on the Copy Document(s) message.
A confirmation banner will display when the Copy Documents process is complete.
Moving Documents to Other Cases
NOTE: You must have Delete permissions to Case > Documents Tab to use the Move to Other Cases feature.
To move one or more documents to other cases:
On the Case Documents Tab, use the checkbox to select the document(s) you wish to move.
Click the Bulk Actions dropdown and select Move to Other Case(s).
Select one or more Cases from any open Cases or Companion Cases on the Case Selection window. You may also click the Search button to select a different Case in your Neos database.
Click the Save button to proceed or click the Cancel button to abort the Move Document(s) process.
Confirm the selected case(s) by clicking Yes on the Move Document(s) message.
A confirmation banner will display when the Move Documents process is complete.
Edit
Multiple document entries can be changed at the same time using the Edit option. Bulk changes can be made to the Document Date, Category, Type, Tags (Add and/or Remove), and Staff Created.
NOTE: You must have permission to Special Permissions > Update Multiple Cases to use the bulk edit feature.
It is important to review the selected field content you plan to modify before committing to any permanent changes. Changes made using the Edit feature cannot be reversed, so it is recommended to carefully review anticipated modifications prior to making a bulk change. For any questions, contact Support to guide you in this process.
To edit multiple documents:
Within the Case Documents tab list view, use the checkboxes to select the document entries you wish to edit.
Click the Bulk Actions dropdown and select Edit.
On the Update Document(s) window, click the Fields dropdown to choose the document fields where you wish to universally make changes to the selected documents. Universal changes can be made to Document Date (formally Date Created), Document Category, Document Type, Document Tags (Add), Document Tags (Remove), and Staff Created.
NOTE: When "Document Tags (Add)" is selected, the selected tag(s) will be added to the selected document(s). If the document already has the selected tag, it will be skipped (no changes). When "Document Tags (Remove)" is selected the selected tag(s) will be removed from the selected document(s). If the document does not have the selected tag, it will be skipped (no changes). Activity Feed entries will not be created for any skipped documents where changes are not made.
Enter the new date or selection from each corresponding field that you wish to change.
NOTE: Document Type changes will automatically save the selected documents in the corresponding subfolder in your firm's SharePoint.
The Document Tags (Add) field now includes the ability to create new tags and apply them to the selected document(s) while bulk editing. Type a unique tag into the field and click the Add "<unique tag"> as a Case Tag text.
The Case Tag will be immediately created and listed in the Document Tags (Add) field ready to be assigned to the selected document(s) on Save.
NOTE: If Cancel is clicked on the Update Document(s) window, the new Document Tag will NOT be applied to the selected document(s) but the tag will be available in the list of Case Tags.
5. Click the Save button to complete the bulk edit or click the Cancel button to close the Update Document(s) window and abort the entered changes.
6. A confirmation message will display when complete.
Download Selected Documents
Multiple documents selected from the Detail List or Case Folder view can be downloaded as a single zip file.
To download selected documents,
Within the Case Documents Tab, use the checkboxes to select the document(s) you wish to download.
Click the Bulk Actions dropdown and select Download Selected.
When more than one document is selected to be downloaded, a Processing/Complete window will display on the bottom right of the Documents Tab when the zip file is ready.
Click the downloaded zip file on the bottom left of the browser window to open your Downloads folder within file explorer window.
The files will be contained in the saved Document Type folder (e.g., Correspondence). Files can be moved to the desired location.
When one document has been selected, the downloaded file will display on the bottom left of your browser. Click to open the file using the affiliated program. PDFs will open in a new tab in your browser and can be saved as needed.
Files can be automatically opened after they are downloaded by clicking the carrot icon on the far right of the download and selecting the Always open files of this type option. Refer to Opening Case Documents for more details on setting this configuration using your browser and default application for all files of this type.
Downloaded documents can also be dragged and dropped from your browser window to an open email window.
