Once your firm's eLaw integration is connected in Neos, navigate to a Case to set up the eLaw Watchlist by linking the Case details from eLaw with Neos. You can also set the Calendar Details for this Case.
NOTE: You must have the eLaw Special Permission set to Enabled.
To configure the eLaw Watchlist:
Have your eLaw account available with the case details you wish to associate with Neos. This public data can also be found by doing a Case Search in eCourts.
In Neos, navigate to the desired Case and select the Case Tab.
Scroll down to Court Information to locate the eLaw Watchlist section. [screenshot]
Click the Setup button if the eLaw Watchlist is currently Inactive.
The eLaw Watchlist window will display. Enter the following details from your desired eLaw case.
Case Details
Index No. – Enter the Index Number from your eLaw account. This is a number field that allows up to 6 digits. Index No. is a required field.
Year – Enter the Case year, up to 4 digits. This is located after the Index Number in eLaw. Year is a required field.
Court Code – Use the dropdown to select the Court Code from eLaw, e.g., State of New York, Supreme Court. Court Code is a required field.
County Code – Once Court Code is selected, use the dropdown to select the County Code, e.g., Bronx. County Code is a required field.
Case Type – Once County Code is selected, use the dropdown to select the associated Case Type for the county. Case Type is a required field. This information is pulled from eLaw. This field will be hidden unless the Court Code is New York County Civil System OR State of New Jersey, Superior Court.
Calendar Details – For a specific Neos Case, a default Organizer and Attendees can be selected.
Organizer – Use the dropdown to select the Staff Code (only Staff with an email will be listed) of the user who will own the event. You, as the current user, must have 'Can Edit' permissions to the selected Organizer's Outlook Calendar (including the event creator field in the eLaw Integration). Neos will run a check and show an error if you do not have the proper permissions. If left blank, the Organizer will default to the Staff Code selected from the eLaw Integration page.
NOTE: If the event creator from the eLaw Integration page does not have 'Can edit' rights to the selected Organizer here, Neos will default the Organizer to the Staff from the event creator in the eLaw Integration, and the fields on the created event will be disabled.
Attendees – Use the multi-select dropdown to choose one or more Staff with an email address or choose a group of staff. This field is optional. If attendees are listed in this field for this Case, events will be created on both the organizer's and listed attendees' calendars. If this field is blank, events will only be created on the Organizer's calendar.
6. Click Add to Watchlist to save and add the eLaw ID with this Neos Case. Each eLaw case can only be synced with one Neos Case. If you attempt to sync the eLaw ID with a case that is already synced in Neos, you'll be returned to the eLaw Watchlist window with a note of the current linked case.
7. When successful, a confirmation banner will display. Refresh the Case Tab to see the eLaw Watchlist status changed to "Active".
Once the eLaw case has been connected with the Neos Case, you can sync and access Motions and Appearances in Neos.
