Advanced Search: Bulk Send Archived Events to Outlook

Archived Events (formally "Case Events") are now accessible within a Calendar Advanced Search query and can be sent to Outlook in bulk.

This feature is helpful for recently migrated firms to send migrated items to Outlook or can be used in tandem with the Cancel Event workflow when changing organizers in bulk.

NOTE: You must have Enabled permissions to General > Advanced Search. Your Staff Profile must be connected to Office 365.

To send events to Outlook in bulk:

  1. Open Advanced Search and set the Search to Calendar.

  2. Add Criteria for "Event Type" and set the Operator to "Equals". In the last field, click the dropdown to select ArchivedEvent.

  3. You may add additional filters to help locate events more easily, such as Organizer Email, Party Name, or Case Number.

  4. Click Run Search to see the Advanced Search results.

  5. Use the checkboxes on the left side of the results to select the Archived Events you wish to send to Outlook.

  6. Click the Bulk Actions dropdown and select the Send to Outlook option.

  7. On the Send to Outlook window, toggle the slider "on" if you wish to keep an archive of the original event in the Case Calendar.

  8. The Organizer can be changed as long as you have 'Can edit' rights to their Outlook calendar.

  9. Click the Send to Outlook button to complete the change.

  10. When complete, the Outlook Event Creation Batch number will display on the bottom right of Neos with a notification banner. That notification can also be accessed in the Notifications side pane.

Archived Events that do not have an Organizer Email set [Run Calendar Advanced Search for "Organizer Email" Is Blank] can be opened to access the Event Detail view.

From the Event Detail, you can Send to Outlook, if desired.

When Send to Outlook is selected, set the event Organizer (defaults to the logged-in Staff Code). Follow steps 7-9 above to complete the Send to Outlook process for the calendar event.

If your Staff Profile is not connected to Microsoft 365, the following error message will display in the progress window.

Navigate to the bell icon to access the Notifications panel.

Click the Errors link to view the details of the case number(s), event name(s), and error message(s).
