Assigning Special Permissions

An overview of each Special Permission in Neos, what the Enabled setting allows, and the area permissions required for the function to work.

Special Permissions is a collection of particular functions that can be performed in Neos when access to its relative area is granted.

For example, if staff can modify the Case Tab, they may also be given special permissions to critical areas/functions within the tab, such as Modify Class Code, Modify Date of Incident, Modify Staff Assigned, etc.

NOTE: Staff must have the proper area permissions to perform functions of these Special Permissions.

If permission changes have occurred to your current view, simply refresh Neos or navigate away and back to that view to see the changes take effect.

The full list of Special Permissions can be marked Allow or Deny by clicking the top-level icon below the Permission heading. Each function only contains the Enabled? permission level.

Special Permissions

Special Permissions > Stamps.com

This Stamps.com special permission is hidden until the integration is enabled. Once the integration is active, this permission will be disabled by default and only enabled for members of the Administrator Role group.

  • Enabled?: Initiate the Print Postage workflow with Stamps.com. Staff also need access to the Stamps.com account username and password.

    When Disabled, the Print Postage button from the Party Tab of a Case will also be disabled.

Special Permissions > Modify Class Code

  • Enabled?: Change the Class field on the Case Tab.

    NOTE: Must have Modify permissions to the Case Tab.

Special Permissions > Modify Date of Incident

  • Enabled?: Change the Date of Incident (DOI) field on the Case Tab.

    NOTE: Must have Modify permissions to the Case Tab.

Special Permissions > Change Case Folder

  • Enabled?: Change the Documents folder for a case using the "Change Case Folder" option in Documents > Settings.

Special Permissions > AI: Manage Prompts & Tags

If your firm has NeosAI, this special permission will be present in the Staff Directory Permissions and Permission Groups. The AI: Managed Prompts & Tags special permission will be set to Inherit Deny by default for all existing and new staff.

  • Enabled?: View, add, modify, and delete AI Chat prompts in the AI Prompts Directory and AI Tags in the AI Tags Directory.

NOTE: Staff can still generate a document summary or a document with AI and see the corresponding AI Tags without this special permission.

Special Permissions > AI Chat: Free Text

If your firm has NeosAI, this special permission will be present in the Staff Directory Permissions and Permission Groups. The AI Chat: Free Text special permission will be set to Inherit Deny by default for all existing and new staff.

  • Enabled?: Access to the free text input field and Send button in the NeosAI Chat pane.

Special Permissions > Modify Locked Value Entries

Locked Value entries related to being part of an invoice or with a status of Due, Overdue, or Paid, paid via LawPay, or synced with an accounting solution, can be unlocked for editing with this special permission. This permission will be enabled by default for all staff within the Administrator Role permission group.

  • Enabled?: Access to edit an otherwise locked Value entry.

Special Permissions > Access to Other Staff's Calls

  • Enabled?: Access calls assigned to other staff.

NOTE: When this permission is disabled, call logs assigned to other staff will be hidden from the Communications Center/Call Details tab, as well as other areas in Neos that utilize call logs, including the Case/Intake Notes Tab and Activity Feed.

Special Permissions > Generate Documents and Forms

  • Enabled?: Generate documents and forms for Document Generation from templates linked to cases.

NOTE: Must have Modify permissions to Case Checklist Tab, My Checklist and Checklist Summary. Must have Add permissions to the Documents Tab.

Special Permissions > Case Tab Migration

  • Enabled?: Opens the Case Tab Migration feature from Settings.

NOTE: This permission will be disabled by default and only enabled for members of the Administrator Role group.

Special Permissions > Modify Date Closed

  • Enabled?: Change the Closed date field on the Case Tab.

NOTE: Must have Modify permissions to the Case Tab.

Special Permissions > Modify Alternate Case #2

  • Enabled?: Change the Alternate Case # 2 field on the Case Tab.

NOTE: Must have Modify permissions to the Case Tab.

Special Permissions > Change Party Name

  • Enabled?: Change the full name of a Party in a Case.

NOTE: Must have Modify permissions to the Party Tab.

Special Permissions > Show AI Case Summary in the Case Tab

If your firm has NeosAI, this special permission will be present in the Staff Directory Permissions and Permission Groups. The Show AI Case Summary in the Case Tab special permission will be set to Inherit Deny by default for all existing and new staff, but will be set to Explicit Allow for the Administrator Role permission group.

  • Enabled?: Shows the AI Executive Case Summary section at the top of the Case Tab.

NOTE: The "NeosAI" Special Permission must also be set to Enabled.

Special Permissions > Modify Alternate Case #1

  • Enabled?: Change the Alternate Case #1 field on the Case Tab.

NOTE: Must have Modify permissions to the Case Tab.

Special Permissions > Turn off DTF creation

  • Enabled?: Allows staff to turn off DTF creation on Value item transactions.

    When disabled, the Create DTF toggle is turned on and disabled.

Special Permissions > Access to Other Staff's Cases

  • Enabled?: Access to other staff's cases where staff are not assigned as a staff role in the case. Other staff's cases will be hidden from the Search Results when unselected.

Other staff's cases will be hidden from the Search Results when Access to Other Staff's Cases is unselected, though with the following caveats:

  • Parties for other staff's cases will display in the Search Results AND

  • The Provider Tab for the selected Party in the Search Results will be displayed when there are no other accessible cases.

Special Permissions > Change Case Type

  • Enabled?: Access to the Change Case Type function in the Actions menu of the Case Tab.

NOTE: Must have Modify permissions to the Case Tab.

Special Permissions > My Staff Profile

The My Staff Profile special permission will be set to Explicit Allow for the Administrator Role Permission Group. All other existing and new staff will show this as Inherit Deny by default.

  • Enabled?: Displays a staff profile icon in the left navigation menu. Changes can be made to your own Staff Profile Tab.

NOTE: Should the Directory > Staff Directory permission be set to disabled, the user's Staff Profile can still be accessed with the following areas hidden/disabled:

  • Hidden:

    • Active checkbox

    • Neos User checkbox

    • Actions menu

    • Permissions Tab

    • Staff Groups Tab

    • Time & Billing Tab

  • Disabled:

    • Staff Code field

Special Permissions > View Credit and Debit Accounts

For staff in a permission group where the Checks or Deposits Add permission is granted OR for staff not in a permission group but have Checks or Deposits permissions explicitly granted, the View Credit and Debit Accounts special permission will also be enabled.

  • Enabled?: Access the Credit Account and Debit Account fields in the Value Tab Check/Deposit Request window and Accounting Tab Edit Checks/Deposits window.

NOTE: When disabled, these fields cannot be changed during the Check/Deposit edit or creation process.

Special Permissions > Replace Provider

  • Enabled?: Access to the Replace Provider function in the Actions menu of the Provider Folder > Provider Tab.

NOTE: Must have Modify permissions to the Provider Tab.

Special Permissions > Update Case Name

This setting will be set to inherit for all staff and permission groups by default. Staff within the Administrator Role permission group will have this set to Explicit Allow.

  • Enabled?: Allows Staff to modify the Case Name field on the Case Tab.

    NOTE: Must have Modify permissions to the Case > Case Tab.

Special Permissions > Delete Lim items

  • Enabled?: Access to delete checklist items that are marked as LIM.

    NOTE: Must have Modify permissions to the Checklist Tab.

Special Permissions > Modify Staff Assigned

  • Enabled?: Change the Staff Assigned To fields on the Case Tab.

NOTE: Must have Modify permissions to the Case Tab.

Special Permissions > Update Multiple Cases

  • Enabled?: Use the Mass Update or Edit feature on tabs within a Case/Intake or Advanced Search to update multiple fields within multiple cases at once.

NOTE: Must have Modify permissions to the corresponding tab.

Special Permissions > Bulk Filing

The Bulk Filing special permission defaults to Inherit Deny for all existing and new staff, with the exception of the Administrator Role permission group, which is set to Explicit Allow.

  • Enabled?: Access to upload or import unfiled documents from the Create menu and Browse Documents (includes the ability to add, modify, and delete documents within the Smart Document Filing workflow).

With the NeosAI Special Permission, Staff can auto-assign uploaded or selected unfiled documents to Cases/Intakes and analyze documents after filing.

Special Permissions > Import From CSV

  • Enabled?: Access to the Import options from Browse Intakes, Browse Cases, Address Book, and Create menu.

Special Permissions > Activity Feed Tile

  • Enabled?: Displays the Activity Feed tile in the My Dashboard > Add Tile pane.

NOTE: This permission will be disabled by default for staff in a Permission Group but enabled within their Staff Permissions.

Special Permissions > Modify Case Dates

  • Enabled?: Change dates within the Case Dates section on a Case Tab.

NOTE: Must have Modify permissions to the Case Tab.

Special Permissions > Advanced Analytics

  • Enabled?: Access to Advanced Analytics dashboards and visualizations.

Special Permissions > Rename Case Folder

  • Enabled?: Rename the Documents folder for a case using the "Rename Case Folder" option in Documents > Settings.

Special Permissions > View All Parties in Cases

  • Enabled?: View all parties in cases/intakes in the Search Results pane.

Parties in Cases will be hidden from the Search Results when the View All Parties in Cases check box is unselected and

  • Case Type Exceptions exist on the Others tab OR

  • Access To Other Staff's Cases is unselected and the staff is not assigned to the Case or they are explicitly excluded from the Case.

Special Permissions > Modify Lim Items

  • Enabled?: Access to modify checklist items that are marked as LIM.

    NOTE: Must have Modify permissions to the Checklist Tab.

Special Permissions > NeosAI

If your firm has NeosAI, the NeosAI special permission will be present in the Staff Directory Permissions and Permission Groups. The NeosAI special permission will be set to Enabled (Explicit Allow) by default for all staff when the firm adds NeosAI.

  • Enabled?: Access to Generate with NeosAI (Documents Tab), Analyze a document (Photo ID, Business Card, Invoice, or Receipt), Create a Party from Photo ID or Business Card (Upload Photo ID or Upload Business Card), and Extract Values from Receipt or Invoice.

NOTE: Must have Add & Modify permissions to the Case > Documents Tab, Add permissions to Case > Value Tab, and Add permissions to Case > Party Tab.

Special Permissions > Modify Referred By

  • Enabled?: Change the Referred by field on a Case Tab.

NOTE: Must have Modify permissions to the Case Tab.

Special Permissions > Modify Other's Notes

  • Enabled?: Change Notes assigned to other staff.

NOTE: Must have Modify permissions to the Notes Tab.

Special Permissions > Time and Value Approval

This permission will be enabled by default for members of the Administrator Role group and for all existing Staff that have the Value Tab > Modify permission enabled.

  • Enabled?: Ability to approve submitted Time and Value entries. Approved entries can be modified. Entries in a Pending status, as a result of being included in a pending invoice can still have any field modified.

NOTE: Must have Modify permissions to the Value Tab.

Special Permissions > AI Chat

If your firm has NeosAI, this special permission will be present in the Staff Directory Permissions and Permission Groups. The AI Chat special permission will default to the NeosAI permission value for existing and new staff.

  • Enabled?: Access the NeosAI Chat button from the top navigation bar and from the NeosAI Tools side pane from a Case or Intake.

Special Permissions > eLaw Integration

When the eLaw integration is active in your firm, the eLaw Integration special permission will be present in Staff Permissions and Permission Groups. It will default to inherited deny upon implementation for all users but will default to Enabled for the Administrator Role permission group.

  • Enabled?: Access the eLaw settings and sync buttons on the Case Tab of the Case.

NOTE: Your firm must have an eLaw account and the eLaw integration must be active.

Special Permissions > Generate Settlement Memo

  • Enabled?: Access to generate Settlement Memos through Settlement Memo Reports.

    NOTE: Must have Enabled permissions to Reports and the Settlement Memo Report Category.
