Advanced Search queries can be exported, similar to reports, by choosing Excel, CSV, or PDF formats. Exported queries will display dates and times using the Time Zone set in your Staff Profile.
Click the
Export dropdown on the top right of the search criteria and select
Excel to export the search query as an Excel file,
CSV to export the search query as a CSV file, or
PDF to export the search query as a PDF.
Excel Export
The Excel export retrains your groupings, footers, and aggregates into an Excel sheet so that data can be manipulated further.
When Excel is selected from the Export menu, a progress banner will display.
Click the Excel file from the Downloads button on your browser to open the generated advanced search results in an xlsx file in your Microsoft 365 Excel desktop. The Excel export supports up to 3 levels of groupings and footers. All aggregates will also be exported.
CSV Export
When CSV is selected from the Export menu, a progress banner will display.
Click the CSV file from the Downloads button on your browser to open the generated advanced search results in a CSV file in your Microsoft 365 Excel desktop.
PDF Export
When PDF is selected from the Export menu, you have the option to name the PDF, select the orientation, format, text size, margins, filters, and location of firm logo and firm address. A new checkbox has been added to the bottom of the Export Options window to allow all existing and future subscriptions of the saved query to utilize the export options selected when configuring PDF subscriptions. When Export options are applied to current and future subscriptions, these saved setting can be accessed by all staff who export this saved query.
For example, Staff A chose to include "Filters" and the "Firm Logo in the Center position" and selected the checkbox to apply changes. When Staff B opens the saved query and opens Export > PDF, they will see the same, saved selections that Staff A chose.
Title – Enter a title to be placed at the top center of the PDF. Title is a required field.
Orientation – Use the dropdown to select the page orientation: Landscape or Portrait. Portrait is selected by default.
Format – Use the dropdown to select the paper size (e.g., Letter, Legal, etc.). Letter is selected by default. A new option for Custom has been added where you can set your Width and Height in inches.
Shrink text – Use the dropdown to select the text shrink amount: Standard, Max, or None. Standard is selected by default.
Margins – Use the dropdown to select from Normal, Narrow, Moderate, Wide, or Custom margins. Normal is the default setting. [2 screenshots]
• Custom allows you to set the Left, Right, Top, and Bottom margins in inches.
Filters – Select the check box to include any filters used to generate the report.
Firm Logo – Select the check box to include the firm logo from Firm Preferences in the PDF. When selected, choose Justify Left, Center, or Justify Right for logo placement.
Firm Address – Select the check box to include the firm address from Firm Preferences in the PDF. When selected, choose Justify Left, Center, or Justify Right for logo placement.
Click the Export button to generate the PDF. A progress banner will display.
Click the PDF file from the Downloads button on your browser to view the generated advanced search results in a new tab, where you can download or print it.
The PDF provides a simple representation of the generated Advanced Search results. Search criteria is displayed above the results with the title and other selected details. Sorting within columns is also exported in the PDF.
NOTE: The default margins for PDF exports have been changed to roughly 1" on all sides for better readability.
Up to three leveled grouping can be exported for Excel, CSV, and PDF formats.
NOTE: Exporting an Advanced Search query Notes is limited to 1,000 notes with a 10,000 max character limit per note. To export your firm's full notes without limitations, the Export > CSV option is recommended.
