Connect the Neos QuickBooks Integrator

An overview of connecting QuickBooks SDK to Neos, including required permissions, enabling the integration in Settings, logging in to the Integrator with 2FA or Microsoft 365, linking a QuickBooks Company File, and troubleshooting.

To connect QuickBooks SDK to Neos, you must have the Neos QuickBooks Integrator and the QuickBooks application running on the same PC.

NOTE: Your firm's QuickBooks must be in single-user mode for the initial setup or reconnection with Neos (located in QB under File > Switch to Single User Mode).

Required Permissions

Users will need the following Neos permissions when interacting with the Neos QuickBooks Integrator:

Enabled:

  • Directories > Mini Directories

  • Case > Case Tab

  • Case > Party Tab

  • Case > Value Tab

  • Provider > Provider Tab

  • Accounting > Checks

  • Accounting > Deposits

  • Accounting > Name Links

  • General > Interfaces

Some functions will require additional permissions, outlined in the related QuickBooks SDK articles.

When troubleshooting issues, ensure the user also has the following Neos permissions:

  • Add:

    • Accounting > Name Links

    • Case > Value Tab

    • General > Interfaces

  • Modify:

    • Accounting > Checks

    • Accounting > Deposits

    • Accounting > Name Links

    • Case > Value Tab

  • Delete:

    • Accounting > Checks

    • Accounting > Deposits

    • Accounting > Name Links

If a Neos user does not have the required permissions, an Insufficient Permissions warning message targeted to their missing permission will be shown in the QuickBooks Integrator (see the example below).

Enable QuickBooks SDK Integration

  1. In Neos, navigate to Settings > Integrations > QuickBooks SDK.

  2. Click the Connect button to enable the integration between Neos and QuickBooks SDK.

    NOTE: Only one QuickBooks integration can be connected to Neos at a time. If QuickBooks Online is currently connected, you will see the following message. Click Continue to disconnect QuickBooks Online and connect QuickBooks SDK.

  3. The integration will show enabled.

NOTE: The option to create a check request will be hidden if the QuickBooks SDK Integration is disconnected.

Connect the Integrator with QuickBooks SDK

  1. Open the Neos QuickBooks Integrator and enter your Neos credentials. Select the Remember checkbox to automatically log in when opening the Integrator. Click the Login button.

NOTE: Staff now have the option to log in using their Microsoft 365 credentials.

2FA Login

If your firm has enabled Two-Factor Authentication (2FA), you must complete the following steps to access the Neos QuickBooks Integrator. Refer to Two-Factor Authentication By Staff for more details.

After your Neos credentials are entered and the Login button has been clicked, you will be directed to the Two Factor Authentication screen. Select either your mobile phone number or email address and click the Send button.

NOTE: A Mobile phone number and/or Email must be saved to your Staff Profile to receive an authentication code. If neither exists and 2FA has been enabled globally in Firm Preferences, you will be prompted to add a Mobile phone number. Log in to Neos to complete this step. Once saved, return to the add-in to send/receive an authentication code.

Retrieve the six-digit single-use authentication code from either your mobile device or email and enter it into the following screen. Select the Do not ask again for 30 days checkbox if you wish to be remembered on this device. You will not need to perform 2FA for 30 days. Click the Login button to access the QuickBooks Integrator.

NOTE: Authentication codes are only valid for 1 hour. If you have misplaced your code or if the authentication code has expired, click the Request another code link.

Sign In with Microsoft

Users now have the option to sign in to the QB Integrator using their Microsoft 365 credentials. Click the Sign in with Microsoft button.

  • If you are already logged in to Microsoft, and your Neos Company ID field is entered and valid, select your Microsoft account to be immediately signed in to the QB Integrator.

    NOTE: If the Company ID field is blank or invalid, you will be prompted to enter your firm's Company ID. Click the Login button.

  • If you are logged out of Microsoft, and your Neos Company ID field is entered and valid, enter your Microsoft 365 email. Then, enter your password and click Sign in. After authentication, you will be immediately signed in to the QB Integrator.

NOTE: If the Company ID field is blank or invalid, you will be prompted to enter your firm's Company ID. Click the Login button.

2. If this is the first time your QuickBooks Company is connecting to the Neos QuickBooks Integrator, the QuickBooks Setup Wizard will display (see instructions in step 6).

3. If your QuickBooks Company was connected to a previous version of the Neos QuickBooks Integrator, it will automatically display in the Settings window.

4. To connect the Integrator to a different QuickBooks Company, click the Change button within the first section on the Settings window.

NOTE: Only one QuickBooks Company File can be linked to the Integrator at a time, however, you can switch between multiple QB Company Files as needed prior to posting Neos check or deposit requests to QuickBooks.

5. When the QuickBooks Setup Wizard displays, ensure the desired QuickBooks Company is open. Click the Next button to continue.

6. The first time you connect to a QuickBooks Company File, you may get a prompt to grant the Neos QuickBooks Integrator access. Select the options below and click the Continue button.

NOTE: To reconnect your firm's QuickBooks Company File to Neos after the initial connection, navigate to QuickBooks SDK in Single-user Mode and log in as an admin. Then, select Edit > Preferences > Integrated Applications > Company Preferences. Select the Neos™ QuickBooks Integrator and click Remove. Follow the steps below to reconnect the certificate.

  • Yes, whenever this QuickBooks company file is open.

  • Allow this application to access personal data such as Social Security Numbers and customer credit card information.

7. Click the Yes button on the Confirm to Proceed message.

8. An Access Confirmation window should display. Click the Done button to proceed.

9. The Integrator will connect to your open QuickBooks Company File and display a "Successfully connected" message. Click the OK button on the saved settings message, then click the Finish button.

10. When complete, you will be returned to the Settings window of the Integrator.

11. Click the Save button at the bottom of the window, then click Yes to save your changes.

12. Click the OK button on the success message. The Settings window will also close.

13. In QuickBooks, confirm that Needles 4 and/or 5 integrations (transitioned firms) have been removed from Edit > Preferences > Integrated Applications > Company Preferences.

From here, review your preference for Configuring Auto Sync. This setting controls the automatic sync of checks and deposits, and the interval at which data is synced between Neos and the QuickBooks Integrator.

If you encounter any issues when switching between multiple QuickBooks company files or errors in the integrator window, try to delete the "QBNeedles.json" file. This path [C:\Users\[computer name]\AppData > Roaming > Neos] can be searched by typing "%appdata%" in your file explorer window and double-clicking the "Neos" folder.

When you reopen the Neos QuickBooks Integrator, the QBNeedles.json file should immediately be recreated. After login, you will be prompted to connect your QuickBooks Company File with the integrator (see step 6 above).
