The Create New Case action in Zapier allows you to automatically create a new case in Neos. Once created, the case will appear in your Neos environment and can be viewed through the Browse Cases tab.
How to Set Up the "Create New Case" Action
Log in to Zapier (https://zapier.com/) and create a new Zap.
Select Trigger.
Choose your preferred trigger (e.g., Email Parser, Google Forms, etc.). In this example, we are using Email Parser. If choosing this as a trigger, make sure your parser mailbox is configured - parser.zapier.com. Refer to Configure Email Parser Trigger for more information.
In the right pane, select the Trigger event (e.g., New Email).
Set Up Action
Next, select Action.
In the app window, search/select Neos (it may be in your list of top apps).
From the Action event dropdown, choose Create New Case.
Connect Neos Account
Click Sign in to connect your Neos account with Zapier. If you previously connected your Neos account in Zapier, it will be available to select from the Account dropdown.
If you haven't connected Neos yet, refer to Connect Zapier to Neos for authenticating Neos with Zapier.
Once connected, click Continue.
Configure Fields
The following fields must be completed to successfully create a new case in Neos:
Case Type: Select a Case Type from the dropdown list of case types configured in your Neos system.
Is a Person?: Indicates whether the First Party is a person (as opposed to a company or other entity).
First Party – Last Name: Enter the last name of the First Party associated with the case.
First Party – Party Role: Select a Party Role from the dropdown list of available roles in your Neos environment (e.g., "Claimant"). If the Party Role will change based on the case, select "Neos Default" so you can change it in Neos after the case is created. NOTE: This field cannot be tied to your email parser trigger.
11. Map Optional Fields: There are many additional fields available when creating a case. You can map any of these based on your data source or use case. Optional fields include things like Date of Incident, Synopsis, Docket, and more.
Toggle Fields (Conditional Inputs)
When setting up your Zap, there are three toggle fields that, when set to True, will reveal additional fields for capturing more detailed contact information for the First Party on the case:
First Party – Add Address Information: Set this to True to display additional fields for entering the party's street address, city, state, and ZIP code. The Address Type and Address Line 1 will be required.
First Party – Add Phone Information: Set this to True to enter the party's phone number, specify the type (e.g., Mobile, Home), and optionally include a phone extension. The Phone Type and Phone Number fields will be required.
First Party – Add Email Information: Set this to True to enter the party's email address and specify the email type (e.g., Personal, Work). The Email Type and Email Address fields will be required.
Test Zap Flow
Once your configuration settings are complete, you're ready to run a test of the Zapier flow. Click Continue, then click Test step. This feature will create a test case in Neos. Confirm that it appears in Neos as expected.
The response should include a Case ID and First Party ID.
Click Publish to finalize the zap.
Additional Tips
Make sure the data you're passing into each field is clean and consistently available from your trigger step.
Double-check that your trigger is set up to properly capture and pass all necessary case details into the "Create New Case" action.
