In addition to the standard widgets from Neos Today and Intakes Overview - Plat, Neos allows you to add a table, number, or chart tile from saved Advanced Search queries, or an activity tile of staff events to customize your Dashboard. Tiles are queried each time My Dashboard is refreshed. The time it takes to load tiles may be dependent upon the number of tiles in your Dashboard and your internet speed.
NOTE: Tile performance has been improved, allowing each tile to load independently, reducing the load time when the Dashboard is refreshed.
Changes that are made to standard and custom/private dashboards will only be visible to the signed-in user. Changes that are made to custom/shared dashboards will also be visible to all shared users.
Since most tiles are created from saved Advanced Search queries, Staff may only choose queries from which they have access.
NOTE: For Staff who do not have access to Advanced Search, tiles can still be added to their Dashboard if they have the proper permissions to that query when it exists as a report in the Report Library. Refer to Assigning Other Permissions for details on excluding users from specific Report Categories.
NOTE: You must have Enabled permissions to Special Permissions > Activity Feed Tile to add the Activity Feed to My Dashboards.
Add Tile
To add a new tile:
Select the desired dashboard.
NOTE: Up to 25 dashboards are allowed.
Click the Edit button on the top right to enter edit mode.
NOTE: Edit mode only applies to the currently selected dashboard. If another dashboard is selected, you must click the Edit button to enter edit mode for the newly selected dashboard.
Click the now visible + Add Tile button on the top right.
A pane will display on the right. Select the + icon for Table, Number, Chart, or Activity Feed. The first three options utilize saved Advanced Search queries, displayed in a table, number, or chart format. The Activity Feed tile displays activities for cases that can be filtered by selected staff.
Add Table Tile
This tile allows you to compare a list of records side-by-side. For example, you may wish to compare cases, view a list of recent items, and summarize data as soon as you log in to Neos.
NOTE: A Table tile will list up to 1,000 rows.
Enter the following required details to create the new tile.
Title – Create a name for the new tile. This will display on the tile in current dashboard and will not affect your saved Advanced Search query.
Search Query – Use the dropdown to select from a saved Advanced Search query.
Click the View/Edit Search Query button to open the query as a new tab. This allows users to make changes to the original query, so the information is properly displayed on the current dashboard. NOTE: You must have Modify permissions to General > Advanced Search in order to change saved queries.
Click the Save button when complete.
The Table tile will be added to your current dashboard. Click the Save button to exit Edit mode. Columns within the Table widget can be rearranged and sorted ascending or descending. You can also click the kebab menu to the right of each column heading to autofit, sort, or group by a column. Available columns depend on the saved Advanced Search query. If the query has been saved in Advanced Search with customized groupings, that view will show in the tile. While columns cannot be grouped, summarized, or aggregated directly in a tile, when these options are saved in your Advanced Search query, they will display in the custom tile on My Dashboards.
Case numbers are now hyperlinked, allowing you to open a case with a single click! Records can also be accessed by double-clicking a line item e.g., Message entry opens the Message Detail View, Provider entry opens the Contact > General Tab, etc.
Once saved, click the View Query button on the bottom right to view the saved Advanced Search Query in a new Neos tab.
To make changes, click the Edit button on the top right and select the Settings icon.
Add Number Tile
Number tiles display the total number of results from a selected Advanced Search query. Enter the following required fields to create the new tile.
Function – Choose how data should be calculated (e.g., using the Spend column, you may wish to show values by the Sum). NOTE: In order to have access to the full list of Functions, your saved Advanced Search query must show the options for Aggregation and/or Summarize.
Query Column – Select the column that should be used from which to run the query. Columns differ by the Advanced Search query. This column is dependent upon your Function field selection. When the Search Query uses Time as the primary search, all Function options, except "Count" will allow you to choose the Query Column (Billable Time, Case Number, or Time Spent).
Click the Save button when complete.
The number tile will be added to your current dashboard. Click the Save button to exit the Edit mode.
Once saved, click the View Query button to view the saved Advanced Search Query in a new Neos tab.
To make changes, click the Edit button on the top right and select the Settings icon.
Add Chart Tile
Chart tiles show results from a selected Advanced Search query in a visual chart (e.g., Bar Graph, Pie Chart, or Donut Chart). Enter the following required fields to create the new tile.
Title – Create a name for the new tile. This will display on the tile in your current dashboard and will not affect your saved Advanced Search query.
Chart Type – Select the type of chart to visually represent data (Bar Graph, Pie Chart, Donut Chart). This field can be changed after saving.
Group By – Select the column in which to group the query. The columns in this list are the same columns that exist in your selected Advanced Search query.
For example, if your Advanced Search query is currently grouped by "Current Stage Name", you may want to follow the same format when creating the Chart tile for this query. NOTE: If you remove a column in your saved Advanced Search query, the tile will still function the same until the change is made in the tile Settings pane.
All Date columns contain (Day), (Month), and (Year) appended to the title in the Group By dropdown.
When selected for a Bar Graph Chart Type, the data is grouped by month, day, or year with month, day, or year appearing on the x-axis (shown below).
NOTE: This enhancement is being actively refined for a future release.
When selected for a Pie Chart or Donut Chart Type, the data is grouped by month, day, or year, with the month, day, or year appearing on the right-hand legend.
Function – Choose how data should be calculated (e.g., using the Spend column, you may wish to show values by the Sum).
NOTE: In order to have access to the full list of Functions, your saved Advanced Search query must show the options for Aggregation and/or Summarize.
Query Column – Select a number, currency, or date column from the saved Advanced query that will be used to perform the chart function. For example, when creating a Chart tile for Intakes Grouped by Stage, you may query by Case/Intake Number. This column is dependent upon your Function field selection. When the Search Query uses Time as the primary search, all Function options, except "Count" will allow you to choose the Query Column (Billable Time, Case Number, or Time Spent).
Click the Save button when complete.
The chart tile will be added to your current dashboard. Click the Save button to exit the Edit mode.
Once saved, click the View Query button to view the saved Advanced Search Query in a new Neos tab.
To make changes, click the Edit button on the top right and select the Settings icon.
Add Activity Feed Tile
The Activity Feed tile displays all items or changes made to all Cases/Intakes for one or more Staff. This redesigned tile helps firms track productivity and changes made to a Case/Intake and Provider. Staff will be able to see activities performed on different Cases/Intakes, even if they do not have access to specific Cases or Case Types but will be prohibited from opening entries without Enabled permissions to those areas.
NOTE: You must have at least Enabled permissions to Case > Case Tab and Enabled permissions to Special Permissions > Activity Feed Tile.
The Activity Feed has two view options. Your selected view will be retained when accessing other locations that use the Activity Feed.
Grid is the new default view for better organization and readability. The Grid view provides a structured format of activities in a grid for better navigation. Select a single entry to access the preview pane. Click the right arrow to view additional details and access the View/Edit buttons (refer to individual activity articles for available buttons). Toggle the Expand All / Collapse All button above the grid to open or close all expanded views. The Grid view contains default columns for Activity, Date (sorted newest to oldest), Description, Author, and Case. The Case Name (Case Number) will display as a hyperlink in the Case column. Columns can be omitted and rearranged as needed, however, column headings cannot be sorted.
Timeline is the original Activity Feed view that offers a condensed view of activities by date. Activity is displayed in a single feed separated by date (day – month – year) and time. Each activity is displayed on its own line, distinguishable by icons that relate to the entity type. The Staff who made the change is listed next to each activity. Value Transaction is linked to the Value Tab and is read-only on the Activity Feed. Other types of activities can provide a preview of the item, the ability to be edited in the detail view with a single click, and the option to email, download, or send documents to DocuSign, as well as email notes. Activities are ordered by the most recent changes. The Case Name (Case Number) will be displayed below each Case activity as a hyperlink. The Contact Name will be displayed below each Provider activity as a hyperlink. Click the link to open the Case Tab of that Case or the Provider Card.
While the icons based on activity type have not changed, the colors have changed based on action type.
Blue – Added, Moved To, Moved From, Copied To, Copied From, Migrated, and Submitted.
Green – Completed, Signed, Sent, Approved, Paid, and Opened.
Purple – Updated.
Red – Deleted and Denied.
Neutral – Voided.
Filter Activities
Filters set in the Activity Feed tile will remain for the Staff, even after logging out. When the Activity Feed tile is used in a shared dashboard, the set filters will remain for all Staff who access the dashboard.
Select Staff – Use the dropdown to select one or more staff from whom to view activities. When blank, activities by all staff will display.
The tile can be filtered as follows:
Activity Type – Use the dropdown to select one or more activity types - the location where the change took place, e.g., Document, Checklist Item, Value, etc.
Case – Use the search field to find a specific case/intake from which to view the activity. When blank, activities from all cases will be displayed.
Action Type – Use the dropdown to select the type of action that was performed, e.g., Added, Deleted, Signed, Paid, etc.
Date Range – Use the calendar popup to select a date range in which the activities occurred. The last 30 days are shown by default.
Click the Apply button to save your filters. To clear your filters, click the Reset All button, then click Apply.
The Activity Feed tile will be added to your current dashboard. Click the Save button to exit the Edit mode.
Single-click an activity to see a pop-up with more details in the Timeline view. Available options will differ based on the activity type.
To remove the Activity Feed tile, click the Edit button on the top right and select the trash can icon.
