Generate Documents from Checklist Items

Documents that have been coded and added to the Template Setup can be associated with Checklist items in Neos. Review Adding a Primary Checklist Item for more details on associating templates with Checklist items.

NOTE: You must have Add permissions to Case > Documents Tab to add the generated document to the Case or Intake. Modify permissions to Case > Checklist Tab is also required to save modifications to the Checklist item as a result of document generation.

When Checklist items have a template associated, a Generate icon

will display in the Doc # column in My Checklist on My Dashboards, the Checklist Tab of a Case, the Checklist Summary from the left navigation pane, and the Checklist Tab of an Intake.

Documents can be generated from Checklist items using the Generate icon mentioned above or by clicking the pencil icon and selecting the Generate Document button on the Task Pane in the Case or Intake, Checklist Summary, or Neos Today Checklist.

NOTE: When a Checklist item is marked Done that has a linked template, the Document Generation process will automatically initiate.

The Document Generation Wizard will display. Using the wizard, easily fill in tags and categorize documents from a single screen.

Preview the template associated with the selected Checklist item by clicking the View Document Template button.

The following fields relate to the Documents Tab and are always displayed.

  • File Name The default file name shows the name from the Template Setup; however, you may choose to rename it to match the current Case.

  • Type – Choose the applicable document from the list defined in the Document Types Directory. The generated document will be saved in the selected Document Type folder in your firm's SharePoint.

  • Category – Choose the applicable document category from the list defined in the Document Categories Mini Directory. The generated document will be saved in the selected Category folder in your firm's SharePoint.

Merge Prompts act like questions you must answer to properly generate the document. Prompts differ based on each template. For example, a letterhead template may prompt you to select the appropriate location if your firm has multiple offices. Prompts are created using the Neos Word Add-in. Other questions you may need to answer come from tags that request a specific Sub Category. For example, if your template has a tag for the first name of the Party that is a Plaintiff, you'll need to use the dropdown to select the correct name that has that Party Role.

Additional prompts may include Multi-Document Generation and DocuSign based on the tags in your template. Refer to Generating New Documents for more details.

When all desired fields have been entered, click the Generate Documents button.

Your screen will return to the Checklist item from where you initiated the document generation. A progress window will display in the bottom right and then change to show that the generation process is complete. The file path of the added document displays below the file name.

Click the File Name to open the generated document. Data from the Case or Intake has been inserted into the proper locations. Make sure to review the generated document for validity.

If multiple documents are generated, they will be batched in a group.

Notice that the Checklist item is marked Done

and shows a Done icon

in the Doc # column.

Click the Refresh Checklist button to filter this completed item to the bottom of the Checklist. The icon in the Doc # column will change back to the + Generate icon, allowing you to generate the linked template again, if needed. The Due Date will keep the original date but the Completed Date column will show the date marked Done.

Navigate to the Documents Tab to see the generated document listed for the Case or Intake.

Using a different view, you'll see the file location of this generated document in your firm's SharePoint.
