This article describes the effects of changing fields of a Document Type in the Document Types Directory.
NOTE: You must have Modify permissions to Case > Documents Tab to change a Document Type.
Activate/Deactivate
When a Document Type is marked active, it will automatically display as an option in the Type field on the Documents Tab > Detail View and Preview Pane.
Active Document Types will show alphabetically at the top of the list view in the Document Types Directory.
When a Document Type is marked inactive AND is assigned to a document (i.e., a folder has been created in SharePoint with that title), there will be no changes to the document entry. It will remain linked to that Document Type and folder in SharePoint and Neos. However, the inactive Document Type cannot be selected for other documents, as it will be hidden from the list.
Inactive Document Types will show alphabetically at the bottom of the list view in the Document Types Directory.
Add/Remove Document Type Fields
When standard fields have been added to a Document Type in the Directory, those fields will be added to the Documents Tab > Detail View and Preview Pane.
When a field category is removed from a Document Type, all corresponding Type fields will be removed from the Documents Tab > Detail View and Preview Pane. Should those fields be readded, all prior data in those fields will be returned.
Change Document Type Name
If the Document Type Name is changed in the Document Types Directory, it will automatically be reflected in the Documents Tab > List View, Detail View, and Preview Pane. The original Type folder in SharePoint will NOT be changed and the document will still be linked.
To ensure that your firm's documents in SharePoint align with Neos, you will need to manually move any documents from the original Type folder (e.g., Communications) to the renamed Type folder (e.g., Correspondence) in SharePoint.
If the renamed Document Type is assigned to a new document, a new folder (e.g., Correspondence) will be created in SharePoint, if it does not already exist.
NOTE: Name changes to the Type folder in SharePoint will NOT transfer to Neos. The document will still be linked with the original Document Type Name.
The Folder View in Neos can be used to check the current folder naming structure in SharePoint.
