Stamps.com Integration

The Stamps.com integration triggers a workflow in Neos to create postage and shipping labels for Parties and related Contacts in a Case using your firm's existing Stamps.com account. The total cost can be automatically saved as an expense to the Value Tab and a Case Note can be added with all configured postage information. This integration can be used when sending mailings to your firm's clients or providers in a Case, saving staff significant time.

Stamps.com Integration Requirements

  • Stamps.com account – Click here to create a new Stamps.com account and automatically attribute it with Neos.

    • Alternatively, the "ASSEMBLYSOFTWARE" promo code can be entered manually on Stamps.com during the account registration.

  • Stamps.com integration with Neos – Set to Active

  • Neos Permissions:

    Stamps.com Special Permission – Set to Enabled

    Case > Party Tab > View Permission – Set to Enabled

How it works

Postage and mailing labels can be created with your firm's existing Stamps.com account (single shared account or individual users under the firm's main account).

Each staff member will be prompted to log in to Stamps.com when opening the print postage workflow. Users can log in with a shared firm account or with their own unique Stamps.com credentials. The integration requires you to use the Stamps.com username and password.

NOTE: To obtain your account username, log in to your Stamps.com account and navigate to Manage Account > Profile > Personal Contact Info. Select "Get Username" to view your alphanumeric ID.

A Case Note will be automatically created when the postage workflow is complete with a configured Topic and Subject. The note will list all selected addresses and the corresponding shipping details.

A Value entry can be automatically created for the total postage cost with pre-configured Value fields, a transaction for the full amount, and a corresponding DTF item, if needed.

Activate & Configure Stamps.com in Neos

To set up the Stamps.com configuration:

  1. In Neos, navigate to Settings > Integrations > Stamps.com.

  2. Click the Activate button to turn on the integration for all users.

NOTE: The ability to print postage requires the Stamps.com Special Permission.

Auto-Create Note

After shipping labels and postage are purchased, a Case Note with postage details is automatically created with a set Topic and Subject. The Case Note is created after the last request is finished, so only successful requests are included.

Auto-created Case Notes contain the Addresses, Shipping Service Details, and Cost. Notes created with the Stamps.com workflow are flagged with the "Postage" Note Type. Any postage notes created prior to the 25.02 release will be migrated from "General" to the new "Postage" Note Type.

Select the Enable slider to display these options.

  • Topic – Use the dropdown to select a single Note Topic. Options are created in the Note Topics Mini Directory. Topic is a required field.

  • Subject – Enter the default Note Subject. Up to 255 characters can be added.

Auto-Create Expense/Value Creation

Shipping labels and postage created successfully using the Stamps.com integration can automatically add a Value entry to the current Case.

Once enabled in the integration, the "Create Value Items" toggle on the Print Postage workflow will be present. This must be toggled on when using the workflow each time for the Value entry to be automatically created.

With this setting Enabled, the following fields will be populated with the configured data.

  • Provider – The Provider should be set to the one your firm configured with Stamps.com.

  • Value Code – Select a Value Code, typically a Case Expenses Value Code Type, from the Value Codes Mini Directory. It is recommended that firms create a Value Code for "Postage" to easily track these in the Value Tab.

  • Memo – Enter the Memo that will be added to the created Value entry, e.g., Postage.

  • Settlement Note – Enter up to 20 characters that will be added to the created Value entry.

  • Value Category – Select the active Value Category from Value Categories Mini Directory. This is an optional field.

  • Reference 1 and 2 – Enter data that should be added to the Reference 1 and 2 fields of the automatically created Value entry. These are optional fields. If no reference label is designated for the selected Value Code from the Value Codes Mini Directory, the label for the Value entry will be obtained from your Firm Preferences.

  • UTBMS Expense – Select the appropriate UTBMS (Uniform Task-Based Management System) code that should be added to the automatically created Value entry. This is an optional field.

  • Create Additional DTF (Optional) – When checked, a payment transaction will be added to the Value entry for the full amount and a separate DTF Value entry will be created. A link will exist between the original Value entry and the newly created DTF item (refer to Adding and Changing DTF Value Items for information about the linked fields). NOTE: The DTF entry is only auto-created when the selected Value Code is flagged as "DTF" in the Value Codes Mini Directory.

After your firm's Stamps.com integration is configured, navigate to the desired Case to access the Print Postage workflow from the Party Tab (detail or list view) or the Quick Actions Menu in the Case.
