File Upload Action

The File Upload action in the Neos Zapier app allows you to automatically upload a document to a Case or Intake. Once uploaded, the file will appear in the Case/Intake Documents tab of in Neos.

How to Set Up the "File Upload" Action

  1. Log in to Zapier (https://zapier.com/) and create a new Zap.

  2. Select Trigger.

  3. Choose your preferred trigger (e.g., Email Parser, Google Forms, etc.). In this example, we are using Email Parser. If choosing this as a trigger, make sure your parser mailbox is configured - parser.zapier.com. Refer to Configure Email Parser Trigger for more information.

  4. In the right pane, select the Trigger event (e.g., New Email).

  5. Next, select Action.

  6. In the app window, search/select Neos (it may be in your list of top apps).

  7. From the Action event dropdown, choose File Upload.

  8. Click Sign in to connect your Neos account with Zapier. If you previously connected your Neos account in Zapier, it will be available to select from the Account dropdown.

    If you haven't connected Neos yet, refer to Connect Zapier to Neos for authenticating Neos with Zapier.

  9. Once connected, click Continue.

    Configure Fields

  10. The following fields must be completed to successfully upload a file in Neos. Ensure that your configured Zapier Email Parser contains these fields (Case/Intake Number or ID and attachment) so they can be mapped in this step.

  • Case/Intake Number or Case/Intake ID: One of these must be provided. If both fields are left blank, this step will fail. When "Number" is entered, the "ID" field will be ignored and vice versa.

    • The Case/Intake Number is typically a 6-digit number, e.g., 123456. This must be a valid Case/Intake Number.

    • The Case/Intake ID is a GUID-formatted number, e.g., 85ed0bad-9cd6-410b-a0de-1f40b3d47e66

  • File: Select a file to upload

    • In this example, we are uploading the file attached to the email received by Zapier Email Parser.

Test Zap Flow

Once your configuration settings are complete, you're ready to run a test of the Zapier flow. Click Continue, then click Test step. This feature will add the attachment(s) as zipped files in the Case Documents Tab with the title "ZapierFiles-[year][month][date]-[timestamp]. This formatting prevents any duplicate emails. Confirm that it appears in Neos as expected.

Ensure your trigger step is adequately set up so that you are always parsing and passing the Case and File information to the File Upload step correctly.

Click Publish to finalize the zap.
