In order to utilize the Document Generation process in Neos, a document template must be created and tagged in Microsoft Word, using the Neos for Word Add-in. Document templates can be saved anywhere on your computer, as long as you have access to upload from the saved folder to Neos. Document templates added to Neos are automatically saved to your OneDrive Documents folder.
Templates can be added to Neos when saved to your computer OR when using File > Save As to save a copy in the specific linked folder from SharePoint (e.g., Clouddocs > CaseFiles > 200674).
Once added, the template can be accessed by staff using your firm's SharePoint. Changes made to a template in Word are automatically saved when selected from within Neos.
NOTE: To insert tag, you must have the Neos for Word Add-in installed. Once installed, the add-in can be used in Word Online or Word Desktop. For a better Word formatting experience and advanced document coding, it is recommended to use the add-in in Word Desktop.
Inserting Tags
To code a document to use in Neos for document assembly, tags are inserted into your document template. During this process, Neos uses the tags from your template to fill in details from the corresponding Case, Name, or Intake.
To insert a particular tag:
Click the Insert ribbon in Word.
Select the Tag button in the Neos group.
If you wish to include User Defined Data in your template, select the Include User Defined Data check box. A Case Type field will display in the Insert Tag pane. Select the desired Case Type from which you would like a list of available user defined tags.
Select the Merge Type to determine the data available from the Category from which you can create tags. Merge Types include: Case, Intake, and Name.
Select a data category from the Category field. Available tags for the selected category will display. Each Category area will also include Firm and Staff groups to provide tags from those areas of your Neos data.
If Merge Type = Case, the Category dropdown will display a list of active Case Tabs.
If Merge Type = Intake, the Category dropdown will display the Intake information.
If Merge Type = Name, the Category dropdown will display the Provider information.
6. If the selected Category has specific data associated by a subcategory, the Sub Category field will become enabled, allowing you to select the appropriate subcategory.
In the example below, the Def-Driver/Owner Party Role is specified in a case, which is thereby displayed in the Sub Category dropdown.
Subcategories are available in the following areas:

7. Tags within Dynamic Layout categories are available when a Case or Intake merge type is selected. The tag can be identified as seen below with "DynamicLayouts".

NOTE: All fields with the selected Dynamic Layout are included in the tag list. To access fields within custom Dynamic Layouts, your firm must have NeosAI Platinum.
When these Dynamic Layout tags are added to your template, you will be prompted to select a record from the corresponding Dynamic Layout during the document assembly process.
8. Use the Search field above the Tags list to quickly find the desired tag. The tag list will be filtered to include tags matching the search text and those that relate to the matched items. For example, to find name fields, enter "Name" in the search field. A list of tags for the corresponding name information fields, like Gender, Age, Addresses, Phones, etc., will display.
NOTE: Some field name discrepancies between Neos and the Word Add-in may be present, e.g., SSN and SS Number. These correspond to the same field but are titled slightly differently.
9. Scroll through the list to find the desired tag. To insert the tag into the template in the location of your cursor:
Double-click a tag, OR
Select a tag and click the Insert Tag button.
NOTE: Tags can also be inserted into the header and/or footer of the document.
Format Tags
Generated documents can be automatically formatted when inserting tags into your template.
NOTE: This process for formatting tags in the Font window can only be accomplished in Word Desktop. Tags can be formatted in Word Desktop and then copied/pasted into Word Online or you may start your template in Word Online and then choose Open in Desktop to complete your tag formatting.
To format tags (e.g., Caps or Italics):
Highlight the full tag in your template.
Right-click on the tag and select Font.
On the Font window, choose your Font, Font style, Size, and/or Effects.
Click OK to save your changes, then proceed with your template.
Save and upload the template to Neos as normal.
When the template is selected during Document Generation, the completed document will display your Neos data formatted per your selections.
For tags with dates, such as Date of Birth, use the Select Date Format field to specify the desired date format to be used during document assembly.
10. When your template is complete, save the document in the designated folder, where you have access. Refer to Adding Coded Documents to Template Setup for information on inserting the coded document as a template into Neos.
