Accessing the Automations Directory

Automations for checklist and intake status changes, class code changes, and checklist additions can now be managed in the Automations Directory. The Automations Directory tab has an updated icon and is contained in its own URL within Neos. A History tab has been added to quickly see all automation executions. The Automations tab keeps your current filters while the tab is open, even if you navigate elsewhere in Neos.

NOTE: Your firm must have NeosAI Platinum. You must have Enabled, Add, Modify, and Delete permissions, as needed to Directories > Automated Workflows to access, create, edit, and delete automation workflows.

You must also have Delete permissions to Directories > Automated Workflows to remove a selected automation.

To access the Automated Directory:

  1. Navigate to Settings and select Automations (under the User Defined section). The Directory tab contains the list of all automations created within Neos.

  2. Within the Directory tab, the Automations grid contains the following columns. All columns are sortable, except for Case Types. Actions, and Status.

  • Name – Custom automation name.

  • Trigger – Automation trigger type.

  • Created – Date the automation was created.

  • Staff – Staff Name who created the automation.

  • Last Modified – Date the automation was last changed.

  • Modified By – Staff Name who last changed the automation.

  • Case Types – Selected case types used in the trigger. If "Any" was selected, then "Any" will display. Column cannot be sorted.

  • Actions – Displays the action(s) for the automation. NOTE: If Send email is used multiple times, it will be listed more than once. Column cannot be sorted.

  • Last Triggered – Shows the date and time this automation was last used. NOTE: This field will be blank for any pre-existing automations until they are triggered for the first time when this new column is added.

  • Status – Shows if the automation is active or inactive. Column cannot be sorted.

Search Automations

Use the search bar above the grid to locate automations where your entered text exists within the Name column.

Filter Automations

Use the Filters button above the grid to find automations by the following:

  • Trigger – Select the type of trigger to filter automations. Trigger is a single-select field.

  • Case Types – Select one or more case types or "All" to filter automations.

  • Staff Created – Select one or more staff to filter automations created by those staff.

  • Actions – Select one or more actions to filter automations.

View/Edit Automations

  • Click View/Edit to open the Workflow Settings tab of this automation.

  • Click Delete to remove this automation from the Automations Directory.

New automations can be added from the + Add Automation button.

Single-click an automation to access the preview pane.

The saved Automation can also be opened when double-clicking an automation entry from the list view. The tab now uses the Title of the automation name, making it easier to see which automation tab(s) you currently have open.
