Accessing Neos Search

Search is one of the most used features in Neos and is essential for accessing your firm's Cases, Intakes, and Providers. With the new search experience, Neos will help you find what you're looking for faster, improving your overall workflow. Enhancements include:

  • Faster search (3x quicker)

  • Accessible Search Bar

  • Accurate results for Names, Cases, and Intakes

  • In-depth data to help users identify results faster

  • Easily access associated cases/contacts for a record

  • Consolidated results pane

Use Name information to locate Parties or Providers using name criteria, such as the name, social security number, address information, or date of birth to retrieve results in which the Party or Provider is involved. Alternatively, you can locate a Case by entering criteria, such as date of incident, date opened or case number. Neos also allows a search of all criteria to be performed. Results are divided into Names and Cases (including Intakes).

Accessing Neos Search

The Search feature in Neos, is always accessible on the top navigation bar (above any open tabs).

To initiate a search, select the search criteria dropdown or type to filter the desired criteria.

Use the Search Criteria dropdown to select the type of search you wish to perform. "All" is the default selection, however, Neos will retain your last selected criteria. You may also use the Filter field to quickly locate search criteria.

Click into the Search text field to display your recently opened (from Search) Intakes, Cases, and Contacts. To close the history pane, simply click anywhere outside of the popup.

Click the Clear button to clear your recently opened search history. All recently opened items will be removed from this view.

The Search pane recalls your ten most recently opened Intakes, Cases, and Contacts. When you are searching through a list of search results, you may need to review each record in the list. With this feature, the results from your previous search are automatically displayed, allowing you to pick up where you left off. Clicking the magnifying glass will highlight your last searched text and last result location (All Types, Cases, Contacts, or Intakes).

To conduct a new search, click the x to clear the last searched text and replace it accordingly. Click the magnifying glass

or hit the ENTER key.

A Search results skeleton briefly displays just prior to your matched results. Instead of the Neos icon with a loading bar, users will now see the layout or skeleton of matched results. This enhancement improves user experience by focusing on progress instead of wait times, as information is incrementally displayed.

If your screen is using a high resolution or a zoomed-out screen where the scroll bar is not visible, the Load More Results button will be available to access additional search results.

The "All" search filter will display matching results separated into four tabs: All Types, Cases, Contacts, and Intakes. The All Types tab will display matching Cases, Contacts, and Intakes. Click one of these tabs to only see results by that type.

The following fields are used when searching with the All criterion:

  • Name (Name/Aka, Name ID, DOB, Full Name, Address, City, State, Zip, Phone Number, Email, SS#, and Federal ID)

  • Case (Case Num, DOI, Open Date, Alt Case Num, Case Name, Case Title, Docket #, and Claim #)

NOTE: The All search results do not include the AKA Name (First or Last) unless it is a fragment of the full name. For example, 'Jess' will return results for 'Jessica Summers' but 'Jessie' will not.

When the All search is used, your entered text must match exactly as typed somewhere in the Full Name (Last Name, First Name). For example, to locate the name "Abigail Summers (Minor)", the following search text can be used with the All search filter.

  • "Summers"

  • "Summers (Minor)"

  • "Abigail"

  • "Abi"

  • "Summers (Minor), Abi"

  • "Summers (Minor), Abigail"

  • "Sum, Abi" – This can include any number of characters when searching a name fragment

The icon for each search result indicates whether the name is a Party in a Case

, Party in an Intake

, or a Provider

.

Some Providers are also listed as a Party in a Case. Up to three Provider Roles will display in the Search Results pane, however all roles will display in the Name Results Preview. If a name is a minor and/or deceased, these details will display on the top right of their record in the Search Results pane and the Name Results Preview.

The search result details will list the number of Cases and Intakes that are associated with a name

. Case search results will list the number of Parties that are associated with a Case

You can now preview a list of Cases, Intakes, or Parties before making a selection. Up to three of the newest Cases/Intakes (by Created Date) and up to three out of the total Parties will display in the preview. Select one of the three Cases/Intakes or Parties to view that Case/Intake or Party (in a Case). Click the See More text at the top right of the preview window to display the Name Results Preview with the full list of Cases and Intakes. Click the X to close the preview window.

to view all Parties in a Case.

If a name has a picture added to their Party or Provider tab, it will also display in the search results.

Click the X to close the search results pane or click anywhere outside of the pane.

With the enhanced Search, matched results that start with the entered text will display first, e.g., "Adams" will display before "McAdams".

  • Exact matches will display first

    • If the exact match contains contacts AND cases, Contacts will be listed first.

  • Partial matches that start with the searched query will display second.

    • If the partial match contains contacts AND cases, Contacts will be listed first.

  • Partial matches that contain the searched query will display third.

    • If the partial match contains contacts AND cases, Contacts will be listed first.

Search results will show the Case Name in bold, followed by the Case #, Alt Case #.

If your search query does not find any results in Neos, easily add the Provider, Case, or Intake directly from the Search Results pane.

Show Open Cases Only

Your search results can now be tailored to only show open cases using a toggle at the top right of the Search Results pane. When toggled on to Open Cases Only, you can focus your search on active cases and contacts that require your attention, filtering out closed cases. This new setting will be toggled ON for all firms by default. When changed, Neos will retain your user setting for future searches.

The Open Cases Only toggle displays for cases using All, Case/Intake #, Alt Case #, Case Name, Case Title, Docket #, and Claim # search filters.

Opening Case, Provider, or Intake Information

Case, Provider, or Intake folders can be opened from search results or from the Recently Opened section on the Search pane. This section describes how to open Case, Provider, and Intake information from the Recently Opened search list.

Refer to Cases/Intakes Results Preview and Names Results Preview for details on opening cases and names from the search results.

NOTE: You must have the proper permissions to access Cases, Providers, and Intakes.

Open Case - RECENT

When double-clicking a name that is a Party in a Case from the Recently Opened search list, the Case Folder will open as a new tab in Neos. The Case Tab will display as the default and the Search pane will automatically close.

When selecting a name that is a Party in a Case from the Recently Opened search list, click the View button or the Case # on the detail pane to display the Case Folder as a new tab in Neos. The Case Tab will display as the default and the Search pane will automatically close.

When selecting a name that is a Party in a Case from the Recently Opened search list, double-click a Party Name from the Parties section on the detail pane to display the Case Folder as a new tab in Neos. The Party Tab will display as the default and the Search pane will automatically close.

Open Intake - RECENT

When double-clicking a name that is a Party in an Intake from the Recently Opened search list, the Intake detail view will open as a new tab in Neos. The Search pane will automatically close.

When selecting a name that is a Party in an Intake from the Recently Opened search list, click the View button or the Intake # on the detail pane to display the Intake detail view as a new tab in Neos. The Search pane will automatically close.

When selecting a name that is a Party in an Intake from the Recently Opened search list, double-click a Party Name from the Parties section on the detail pane to display the Intake detail view as a new tab in Neos. The Search pane will automatically close.

Open Provider – RECENT

When double-clicking a name that is a Provider from the Recently Opened search list, the Provider Card will open as a new tab in Neos. The Search pane will automatically close.

When selecting a name that is a Provider from the Recently Opened search list, click the View Contact button or the Provider Name on the detail pane to display the Provider Card as a new tab in Neos. The Search pane will automatically close. Refer to Name Results Preview for more details. NOTE: You must have Enabled permissions to Provider > Provider Tab to access the "View Contact" button.

If the Provider does not have a Provider Card or if their Provider information was deleted from their name, the Provider section on the detail pane will not display. Click the View Contact button to display a limited view of their Provider Card.

Select the Provider checkbox and choose a Role. Once saved, you will have access to the Provider Associations, Notes, and Documents tabs in their Contact.
