Neos offers standard Intake statuses to easily locate and work through your firm's list of Intakes by stage. A new Stage filter has been added to the Browse Intakes screen, allowing you to filter Intakes by specific stages.
Stages help your firm track the life cycle of an Intake.
Statuses determine the progression of an Intake within each Stage. Before an Intake is moved to the next Stage, your firm may want to track important tasks for each Status.
Use of Stage & Status is dependent upon your firm's Intake process. If a Stage or Status is not applicable, simply skip it. Stages and standard statuses cannot be modified.
New Intakes are created with a Stage & Status of: Lead > Progress. Once an Intake has been created, the Stage & Status can be changed from within the detail view of an Intake.
NOTE: Pending Intakes from your firm's Intakes folder have been migrated in the enhanced Intake to display with a Stage & Status of: Lead > In Progress.
Lead – All new Intakes that are added to your firm's Neos system (whether from 3rd party services, referrals, or marketing campaigns) start off as a Lead.
• In Progress – Once a new Intake has been created, it is marked In Progress to show that your firm's initial Intake acquisition has started but not yet reviewed.
• Unqualified –Intake details cannot be qualified during the time of creation.
Prospect – Intakes in this stage have been initially reviewed by data entry staff but require further review by a decision maker.
• In Progress – During this status, your firm may be scheduling the initial consultation.
• Unqualified – Intake details cannot be qualified by data entry staff.
Evaluation – After the proper information has been collected, Intakes in this stage require additional evaluation and perhaps a client visit.
• In Progress – During this status, your firm may be evaluating the Intake and gathered information.
• Qualified – If it is determined that the Intake meets your firm's requirements, change the status to Qualified.
• Qualified for Referral – The Intake will be referred out to another firm.
• Unqualified –Intake details cannot be qualified by the decision maker.
Proposal – After evaluating the Intake and confirming your firm is ready to work with the client, this stage is used for drafting, sending, and signing fee agreements. The Intake Documents Tab allows you to use custom templates to quickly generate these documents and send to your client via DocuSign.
• In Progress – During this status, your firm may be drafting fee agreements.
• Agreement Sent – Your firm has sent the fee agreement to the new client.
• Agreement Signed – Your new client has signed the agreement. Documents sent and signed with DocuSign are automatically saved to the Documents Tab of the Intake and will be moved to the Documents Tab when a Case is created.
• Referred - Letter Sent – Your firm has referred the Intake to another firm.
Closed – At any time during the Intake lifecycle, the Intake may be closed for different reasons.
• Case – The client has signed the fee agreement and the Intake is being made into a Case.
• Referred – Accepted – The Party or Firm has accepted the referral.
• Rejected by Us – The Intake has been rejected by your firm.
• Rejected by Client – The client rejected a relationship with your firm.
To change an Intake Stage and Status:
From Browse Intakes, double-click the desired Intake. In the Intake detail view, navigate to the top header bar and select the Stage & Status field. Use the dropdown to select the appropriate Stage and corresponding Status. Click the Save button to keep your changes.
