Most fields of a checklist item can be modified directly in the Checklist tab of a Case. However, Code, S/R, Phase, and LIM fields can only be changed in the original Primary Checklist or Auxiliary Checklist title. As a result, modifications to Due Date, Status, and Doc # columns will cause additional changes to the Checklist tab grid.
When updates have been made, click
to refresh all checklist changes.
Modify Task Name
Click the pencil icon in the grid to make changes to the Task Name. Changes can also be made by double-clicking into the Task Name text within the grid. Changes will only be made for that particular item. A maximum of 255 characters is allowed. Neos will automatically save your changes.
Modify Status
Use the Status icons to change a Checklist item status to Done or Open. Hover over a status icon to display the current status of that Checklist item. Click the Mark As N/A option from the overflow menu
to mark an item as not applicable to this Case. The Status column can also be inserted into the grid where you can use a dropdown to mark an item <Blank>, Open, Done or N/A (not applicable).
When an Open, non-LIM item is changed to Done or N/A, the Due Date will NOT be changed to the current date. Refer to Due Date Calculation for Child and Repeating Checklist Items for more details.
If the item is a parent and child items are associated, a message will display when the status of the parent item is changed to Done.
Click the Yes button to mark the item done and insert all child items.
Click the No button to revert the item status and NOT insert child items.
Should the status be changed back to Open, the Due Date will remain unchanged.
If an item is set to repeat, the S/R column will display the repeat icon
and a message when the status is changed to Done.
Click the Yes button to revert the status to Open and recalculate the Due Date.
Click the No button to keep the Done status and the current Due Date. This item will no longer repeat.
Changing the status to <Blank> will not affect the Due Date. If a Checklist item with a <Blank> status and a Ref of MAN (Manual) is manually modified to include a Due Date, the status of that item does not automatically change.
If the status of an item flagged as LIM is changed from Open
to Done, N/A or <Blank>, the icon will also change
.
When more than one Checklist item is flagged as LIM, the earliest Open LIM item Due Date will display in the Case Header.
If no Open LIM items exist, the Due Date of the last Done LIM item will display as the LIM Date in the Case Header.
If there are no Open, Done, or <Blank> LIM Checklist items in a Case, the LIM Date in the Case Header will display "Not Set".
If the Case Type is not LIM applicable, the LIM Date will be displayed as "N/A".
Modify Assigned Staff
Use the Assigned dropdown to select a staff for whom an item should be assigned. Checklist items assigned to a particular staff will see items that are soon to be due in My Checklist in the My Dashboards tab.
NOTE: For Checklist items, that are assigned to the Primary Staff (and the Staff Role is blank in the current Case Type), when the Case Type of a Case is changed, the Primary Staff will also be changed. All Checklist items with a Staff Role that is blank in the new Case Type and NOT manually reassigned will be reassigned to the new Primary Staff.
Modify Due Date
Select the Due Date to choose a different date for a Checklist item. The existing date will be marked in the calendar pop-up. Click the OK button to insert the newly selected date. If the Due Date is blank, click the Set Due Date button to assign the date a Checklist item should be due.
When the Checklist items reference a Case Date, DOI, COD, or Intake Date that is changed after items are marked Done or N/A, the following will occur.
The following message will display when the date is changed.
Click the Yes button to insert a single duplicate open item into the Case Checklist that references this updated case date. Click Save to keep your changes.
Click the No button to retain the updated case date. Click the Save button to keep changes. No additional checklist items will be added to the Case.
When the Checklist items reference a Case Date that is changed after items are marked Done or N/A, AND one or more items are Open or Blank, the Staff will NOT be prompted with the above duplicate message.
Modify Doc #
If a document has been assigned to a Checklist item, a generate icon
will display in the Doc # column. Documents are added per checklist item in either the Primary or Auxiliary Checklist. When a document is generated from a Checklist item, a notification icon
will display. Refer to the Template Setup for details on creating and inserting document templates. When a Checklist item is marked Done, the Document Generation process will automatically initiate, allowing the associated template to create a new document with data from this Case.
