Microsoft documents that are added to the Provider Documents Tab may be opened in SharePoint and edited simultaneously by staff in your firm.
NOTE: Documents uploaded directly into your firm's SharePoint will NOT be automatically linked to a Neos Provider. In order to link documents to a Provider in Neos, they must be added to Neos using the Upload or Generate New options or by dragging and dropped into the Documents Tab list view. Refer to Adding Documents for more details.
After Microsoft documents, such as Word, Excel, and PowerPoint, have been added to the Provider Documents Tab, opening the document from Neos, will display the web-based version, allowing you to make any necessary changes. Refer to Viewing a Document for more details.
NOTE: When documents are edited in SharePoint and saved in an incompatible file extension (e.g., .doc, .xls), duplicates can occur in the Documents Tab Folder View/SharePoint. To avoid duplicates, ensure files are saved in the extension compatible with Microsoft 365 (e.g., .docx, .xlsx).
When one or more staff are viewing/editing a document at the same time, their icon will display at the top right of the application.
NOTE: Up to 99 people can view/edit the same document in SharePoint, however, if more than 10 accounts are simultaneously editing, their edits are more likely to conflict and affect the user experience.
The file name from the Provider Documents Tab is shown in SharePoint on the application header (see above example, "Retainer Agreement"). File name changes should only occur in the Neos Provider Documents Tab to ensure the sync between Neos and SharePoint. In some instances, you may see alphanumeric text after the File name, which is created and only visible in SharePoint as the unique user id for that file.
You may rename the file by clicking the file name to enter edit mode. Changes will automatically be saved in your SharePoint but will not change the file name in your Provider Documents Tab. However, the document link between SharePoint and Neos will be broken if the document is not reopened (by clicking the File name hyperlink) from Neos within one hour. If the link becomes broken, refer to the missing file connection message in Deleting Provider Documents for details to relink.
Editing Provider Documents in Desktop Version
Changes can also be made in the desktop version of the current Microsoft application by clicking Editing > Open in Desktop. Any changes made in the web-based version will be saved and display a pop-up window asking if you wish to continue in the online version.
In the example below, click the Open Word button to proceed or click the Cancel button to return to the web-based document. Because you are editing a document saved in SharePoint, Any changes made in the desktop version will be automatically saved. Additionally, changes made by other staff in the web-based or desktop version are also dynamically shown and auto-saved.
To continue your edits in the web-based version, click the Continue here button on the popup.
