Accessing Messages

The Messages feature allows you to send telephone messages and other notes to another Neos user. When you send your message, it is passed to the recipient, who will be notified of the message using Notification settings. Once a message is opened, it can be archived for later retrieval. You can also forward, reply, and post the message to the Notes tab of a Case.

NOTE: You must have proper permissions to My Messages and/or Others' Messages in order to use this feature.

Messages are accessible from the left navigation pane by clicking the Open Messages icon

A counter will display on the top right of the icon to show when the user has new/unread messages. When new messages are sent, the recipient can receive an email and/or notification directly in Neos. Refer to Notification Settings for more details.

The Messages tab contains a folder view of messages assigned to a particular staff. Messages can be previewed, opened, responded to, relocated, deleted, or archived. You can also post messages to notes of linked cases in Neos.

Staff Folder View

The Messages tab contains a dropdown of active Staff Codes for whom you have message access. The currently logged-in user will display in the Staff dropdown by default. The Staff and Message folders pane may be collapsed by clicking the arrow icon.

When a staff member is selected from the dropdown, messages sent to that user will display in the list view grid.

Message Folders

Staff messages are contained in four different folders: Inbox, Sent, Deleted, and Archived.

  • Inbox – Contains messages sent to the selected Staff. This is the default view. Unread messages display in bold until opened or marked 'read'. The total number of unread messages is shown in parentheses.

  • Sent – Contains messages sent by the selected Staff.

  • Deleted – Contains messages that have been deleted or moved to the Deleted folder. Unread deleted messages will display in bold.

  • Archived – Contains messages that have been moved to the Archived folder. Unread archived messages will display in bold.

Filter Messages

Messages can quickly be found using the filter criteria above the list view grid. The Caller and Case Number filters are displayed by default. Click the More button to include filters for Date Range, Firm, Re/Client, Taken By, and Read/Unread.

Click the Apply button to filter messages using the entered criteria. Applied filters will be saved when navigating to a different Message folder or when closing/reopening the Messages tab. Click the Clear filters button to reset all filters.

Messages can be sorted by any column in the list view grid by clicking the column heading to sort ascending/descending. Columns can be reordered with changes automatically saved to the Message grid. Columns can be added/removed by clicking the kebab menu to the right of each column name. Within this menu, you can also autofit all columns or just the selected column.

Click the + Add button to create a new message.

The total number of messages will display at the bottom right of the Messages tab. Up to 50 messages will display on each page.

Messages can be previewed from the list view, allowing you to quickly take action while in the current view.

When one or more messages are selected in the list view, Bulk Actions can be performed. Messages can be moved to another folder and marked as read/unread.
