Relating Documents

The Documents Tab lets you relate or link documents for better organization, with multiple related documents on the Case, Provider, or Intake tabs. An unlink icon makes removing links easier, and you can add and relate documents at the same time.

With Related Documents, firms can:

  • Maintain all Deposition documents together, such as Notice Letters, Notice of Deposition, Transcript, Exhibits, and Errata Sheet.

  • Organize Discovery by relating requests to their associated responses, such as Request for Production of Documents and all Responses to Request for Production of Documents, including the actual documents produced.

  • Keep Pleadings together by grouping the initial filings, such as Summons, Complaint, Notice, and Service of Process; as well as group the Answers to the Complaint.

  • Motions/Hearings can also be related by keeping the Motion and any filed Objections together, and later, add the transcripts and Orders to that grouping.

  • Group Medical Record Requests and their corresponding medical records, addendums, updates, medical bills, Letters of Protection, etc.

NOTE: To relate documents, you must have at least Enabled access to the Documents Tab.

Access Related Documents

The Documents Tab list view in a Case, Provider, and Intakes now contains a Related column. This column shows the number of documents linked to a primary document

, or if the document is a child.

List View

Use the Related filter to locate ONLY primary (parent) documents and hide child-related documents. This filter will significantly clean up the list of documents for better organization. The grid will refresh, only showing primary documents and documents without a relationship.

NOTE: This filter is not available in the Folder View.

A Related Documents section has been added to the Document preview (side pane). Select the Related Documents tab. Click the primary to see all related (children) documents. A child document can be opened from the preview by clicking the document file name.

Click the child, then the Related tab to see its primary document. Click the Open File button to open the document.

Signed DocuSign documents will automatically be made children of the original document. If the original document is already a child of another document, then the signed document will be made a child of the original parent (primary).

View Related Documents

To view all related documents, click the linked icon from the Related column.

A window will display showing the Primary Document (parent) across the top. All related documents (children) will be shown in the grid below.

From this window, you can add documents to this relationship by clicking the + Related Document button. Using the down arrow, you can also remove related documents, as well as on the Documents Tab list view. Document relationships can also be removed using the unlink icon in the far-right column of the grid

Detail View

Document relationships are also displayed at the bottom in the detail view of a document. When viewing a parent, all related (child) documents will be listed.

Documents can be unrelated from the unlink icon shown above. Refer to the Remove Document Relation section for more details.

The down arrow offers the same functionality while in the Documents Tab list view.

Add Related Documents

To link or relate documents to other documents:

1. From the list view, click the down arrow for the document you wish to relate as a primary. Select the Add a Related Document option. A document cannot be both a primary and a child.

NOTE: You can also click the add icon in the Related column for the document you wish to become a primary.

2. The Attach Documents window will display. Deselect the Show Case Documents Only checkbox to include all documents inside Neos. Documents can be filtered by Type, Category, and Tags. Select one or more current documents that you wish to relate as children to the selected primary document.

3. Use the Upload File button above the grid to upload a file directly from your computer and attach it to the note when relating documents.

After a document is selected, the Upload 1 file window will display where you can choose the Document Type, Category, and Tags. If your firm has NeosAI Platinum, select the slider to Analyze with NeosAI.

4. Once related, the file will be added to the Documents Tab of that Case.

5. Click the Attach button.

6. The Documents Tab list view will refresh. The Related column will show the linked icon for each related (child) document. The primary (parent) document will show the number of documents that are related.

Remove Document Relation

Related documents can be removed from their primary document from any related document grid (e.g., Documents Tab Detail View).

From the Related Documents window, and with the Primary Document shown at the top, click the down arrow and select the Remove Relation option.

NOTE: A document relation can also be removed by clicking the unlink icon on the far right of the grid.

A confirmation banner will display and the list of related documents will be refreshed when the document relation is removed.

Click the X to close the Related Documents window.

Relate New Documents

When adding new documents to a Case, Provider, or Intake in Neos, you can now drag and drop documents into a Related Documents grid to create the document relation at the time of upload.

Documents can be uploaded and related from the Related Documents Window or the detail view of a document.

Navigate to any of the Related Documents grids mentioned above. On your computer, select the document (Ctrl + click to select multiple) you wish to upload to the Case, Provider, or Intake in Neos. Drag and drop the document to the Related Documents grid.

The Upload file window will display with the number of documents that you dragged from your computer in the title. Select the Document Type, Category, and Tags to add your document to Neos and file in the appropriate SharePoint location for this Case, Provider, or Intake. Click Save when complete.

When the document has successfully been uploaded, the Related Documents grid and the Documents Tab list view will refresh to show the uploaded document.

The uploaded document(s) will be related as a child when:

  • The existing selected document is already a primary (parent) with one or more children

  • The existing selected document is a child of an existing parent

    • The uploaded document becomes a child of the selected child’s primary (parent)
