Building Advanced Search Criteria

This article describes how to build criteria for using Advanced Search in Neos.

With the enhanced Intake feature, additional criteria and filters have been added to build reports by Intakes, Intakes and Cases, Marketing Campaign, and Marketing Source. Dynamic Layouts are now included in the Search for dropdown.

Refer to Advanced Search Results Grid and Advanced Search Grouping for more details on tailoring your results. For example, you may wish to add or remove particular columns, group medical expenses by Case, sort results by total values, and aggregate fields (e.g., average insurance settlements by Case or total Value with amount due by Case).

To start using Advanced Search:

  1. Select the Search for dropdown to choose the record for which you want to search. Options: Accident Information, Addresses, Calendar, Calls, Case Documents, Cases, Check Requests, Checklist, Counsel, Email, Insurance, Intakes, Intakes and Cases, Invoices, Marketing Campaign, Marketing Source, Messages, Names, Negotiations, Notes, Parties, Phone numbers, Police, Providers, Staff, Time, User Tab List/Entry 1-10, Value, or Value Transactions). Active Dynamic Layouts are now included in the Search for dropdown.

    Cases is the default record when opening Advanced Search.

    NOTE: Search for is a required field and only one record can be selected at a time.

  2. When switching between search records, a filter reset message will display.

  • Click the Yes button to reset all filter criteria for the selected search record and change to the newly selected record.

  • Click the No button to stay on the current screen with your existing filters. To retain your current filters, consider saving the search query.

3. Next, select the desired filters to narrow your search. Only the Cases, Intakes, and Intakes and Cases record types contain default query filters.

4. Click the + Add Filter Group button to insert a new filter row. Each filter row relates to the selected "Search for" in step 1, e.g., "Filtering on Calendar". Filters can be removed by clicking the trash can icon.

5. Conjunction Operators now exist outside of each grouping, so it is clear to see what applies to each operator. The "If…" operator within the first filter group has been changed to "Where" and also includes "Where Not" as a negated operator.

6. When a second filter group is added, choose between "And" or "Or". Negated operators, "And Not" or "Or Not" can also be selected. By selecting "And", the first criterion and the next criterion will be used to find data. By selecting "Or", the first criterion or the next criterion will be used to find data.

7. Additional filters can be added within a Filter Group by clicking the add icon

on the far right of each filter. Grouping filters allows you to pinpoint your desired search. For example, you may want to locate MVA cases with Checklist Items assigned to a particular staff member.

8. Use the [field area] dropdown, after the operator, to select the type of filter based on your selected record. The search field at the top of the dropdown can be used to type the field name you seek. Field name options will differ based on the selected "Search for" record in step 1. The comprehensive list contains all possible field names, including user defined fields. Some fields contain additional field areas that can only be accessed by expanding the section arrow.

  • The Select [field area] option (e.g., Case Type > Select Case Type) will display a dropdown under the value-heading, where you can choose from a list of options that pull from a Directory or Mini Directory.

  • Date fields will display a calendar icon

    with the calculator picker pop-up. These date fields allow results to be filtered by a specific time. All Case Dates are grouped under the Case Dates filter category.

  • All Case Staff are grouped under the Case Staff filter category.

9. An "ANY" tag has been added for all list-based filters (e.g., Notes, Value Items, Checklist, etc.) to denote that Neos will search for any items of that list that meet the condition.

10. Use the middle dropdown to select the [operator]. These options will change based on the selected Field Name and may include: Custom (used with date filters), Contains, Equal, Excludes, Includes Any Of, Is Blank, Is Not Blank, Not Equal, Starts With, Greater Than, Greater Than Or Equal, Less Than, Less Than Or Equal, and Not Equal. For example, to search for a single case type, the [operator] should be set to Equal. To search for multiple case types, set the [operator] to Includes Any Of, which will allow for multiple case types to be selected.

11. The third field contains the specific details you wish to include or exclude and will vary based on the selection in the [field area] and [operator] fields. This field can be a search field, text field, date/time field, or a dropdown (where text can be entered at the top to quickly locate the desired value).

12. When you are satisfied with the defined criteria, click the Run Search button to view the results. The Advanced Search will yield all items that meet the set criteria. The filters screen will automatically collapse, showing your grid results. Once the Advanced Search query has been run the first time, you can quickly return to your filters by clicking the Edit Filters button.

Navigate back to your current grid results by clicking the Close Filters button.

A tooltip will display when hovering over the Run Search button after the query has been run for the first time showing the time since the last refresh or when Run Search was last clicked.

13. To calculate totals, refer to Advanced Search Grouping to group, sort, and aggregate columns.
