Accessing Contact Communications

The Communications Tab shows all calls, texts, and emails associated with the active contact. This tab will help your firm stay organized and deliver better client service with the ability to review all email notes, message threads and call notes from all cases to understand the full history before calling, texting, or emailing a contact.

NOTE: You must have Enabled access to Provider > Communications Tab.

The Contact Communications Tab provides all the functionality from the Global Communications Tab but with a targeted view for the active contact.

To access the Contact Communications Tab:

  1. Open the desired contact (e.g., from Search > View Contact).

  2. Select the Communications Tab from the left pane in the contact.

  3. A grid will display showing the Phone calls and Text messages where the active contact is associated.

All phone numbers can be actioned from the grid to send a text message or call the number. [screenshot]

Search & Filter Communications

Use the Search field to locate call logs [when Phone is selected], text messages [when Text is selected], or emails [when Email is selected] associated with the active contact.

  • Phone search will locate results from the Staff, Case, and Purpose columns

  • Text search will locate results from the Staff, Case, Topic, and Phone columns.

  • Email search will locate results from the To, From, and Subject columns.

When Phone is selected above the grid, use the Filters button to access filtering by Staff, Case, Dates, and Time Logged?.

When Text is selected above the grid, use the Filters button to access filtering by Staff, Case, Topic, Created Date Range, and Last Reply Date Range.

When Email is selected above the grid, use the Filters button to access filtering by Staff, Case, Topic, and Sent Date.

Phone Grid

The Phone grid displays the following default columns: Date/Time (sorted descending by default), Staff, Case, Purpose, Notes, and Phone #. Time Spent can be added.

All columns are sortable (except for the Notes column), removable, and can be autofitted in the grid. Your column selections will be saved in your current browser session.

Single-click a phone call row to access the Call Log side preview pane. For more information, refer to Accessing Phone Call Communications.

Double-click the call log to open the Call Details tab.

Text Grid

The Text grid displays the following default columns: Last Reply Date (sorted descending by default), Staff, Case, Topic, and Phone #. Three additional columns (Last Reply, Created Date, and Message Count) can be added. [screenshot]

NOTE: If multiple Staff are linked to a text message, additional staff can be seen on hover.

All columns are sortable (except for Last Reply and Staff), removable, and can be autofitted in the grid. Your column selections will be saved in your current browser session.

Double-click the text log to open the Text Conversation tab.

Additional actions (individually or in bulk) can be performed from each tab, such as adding new entries, assigning, editing, or deleting logs, printing logs, and exporting logs. Refer to Contact Communications Tab Actions for more information.

Email Grid

The Email grid contains Case/Intake Note emails tagged from Outlook where the Contact's email was a recipient in the To, Cc, or Bcc fields or a sender. It also includes Case/Intake Notes that have been emailed from Neos with the Contact's email as the recipient in the To, CC, or BCC fields.

The grid displays the following default columns: Send Date/Time, Case, Topic, Subject, Notes, To, From, and Thread. Seven additional columns relating to emails (Date Modified, Staff Created, Staff Modified, CC, BCC, Date Created, and Attachments) can be added.

Only the Sent Date/Time column is sortable. Emails are sorted with the most recent at the top by default. The Case column includes the Case Name (Case Number). Similar to the Case/Intake Notes Tab, emails can be expanded or collapsed using the caret icon to the left of an email.

Columns can be added or removed and autofitted in the grid. Your column selections will be saved in your current browser session for the current Contact Name ID.

NOTE: In-body pictures, e.g., email signature with company logo, are not recognized as attachments and will NOT be listed as such in Neos.

Single-click an email row to access the Preview Note Pane of that email. Open the detail view of the Email Note in the Notes Tab of the Case/Intake by clicking the pencil icon or double-clicking the email row.
