The File Documents tab automatically syncs with SharePoint to pull in any documents stored in the 'To Be Filed' folder that have not yet been added to Neos and will attempt to auto-assign with NeosAI. Staff can also manually trigger a sync at any time using the Sync with SharePoint button. This ensures the File Documents grid always reflects the most current set of unfiled documents.
NOTE: Your firm must have NeosAI Platinum. You must have the Bulk Filing Special Permission Enabled.
Automatic Sync on Open
When you open the File Documents tab, Neos will automatically sync with SharePoint. Any documents that are present in your firm's SharePoint > CaseFiles > 'To Be Filed' folder that do not exist in Neos will be added as unfiled documents.
The automatic sync occurs every 15 minutes, firm-wide. If you close and immediately reopen the File Documents tab, a new sync will not be triggered until 15 minutes have elapsed since the last sync. This timer applies across all staff and is not specific to individual users.
NOTE: The automatic sync only runs when the File Documents tab is opened without a specific upload batch filter applied. Opening the tab from a specific batch will not trigger the sync automatically.
Manual Sync with SharePoint
A Sync with SharePoint button is available on the File Documents tab. When clicked, newly uploaded documents from SharePoint will be added as unfiled documents to Neos, without having to wait for the 15-minute sync window.
NOTE: If there are any unsaved changes in any row, those will be lost when Sync with SharePoint is clicked.
The processing window will briefly show the number of documents within your SharePoint for syncing.
Once the sync is complete, any new documents that have been added to your firm's SharePoint > CaseFiles > 'To Be Filed' folder will be added to the File Documents grid as unfiled documents.
