Summarize Notes

With NeosAI, Case or Intake Notes can now be summarized. Summarizing with AI will help save time by giving you an idea of what a note is about without having to read the entire note. Notes can be summarized from the list view, preview pane, and detail view.

NOTE: Your firm must have NeosAI and a user must have the NeosAI Special Permission enabled.

To summarize Notes:

  1. Navigate to the Notes Tab of a Case or Intake and select a note of any type.

  2. The Summarize AI option will appear in the following locations:

  • Bulk Actions

    When selected, a success banner will show that the note(s) are being summarized in the background.

  • Preview Pane [screenshot]

  • Detail View [screenshot]

3. Regardless of the location, when Summarize AI (or AI Summarize from Bulk Actions) is clicked, the Note body will be reviewed by the NeosAI model and create an "AI Generated Summary" section. The AI Generated Summary will adhere to the Azure AI Input Limit (approximately 4,000,000 characters or 1,500 – 2,000 pages - depending on text density). Anything over this size will be automatically truncated to fit within the limit.

4. When accessing the note detail view, the AI Generated Summary will be expanded by default, as shown below.

5. The prompt details will differ depending on the Note Topic:

  • Email & Email Received:

    • Email Overview - Provides a clear understanding of the primary purpose and contents of the email in 3-8 sentences (depending on email length).

    • Additional Considerations – Provides a suggested response, the email sentiment and a list of action items that have been requested in the email.

  • Email Sent:

    • Email Overview - Provides a clear understanding of the primary purpose and contents of the email in 3-8 sentences (depending on email length).

    • Additional Considerations – Provides the email sentiment and a list of action items that have been requested in the email.

  • Phone Call:

    • Call Overview - Summarizes the main points of the conversation in 3-8 sentences, emphasizing the key issues discussed and decisions made.

    • Call Details - Provides relevant information about the call duration, parties involved, and caller sentiment. Includes a list of action items or follow-ups required based on the call.

  • Posted Message:

    • Posted Message Overview – Provides a brief summary (2-5 sentences) of the message content, focusing on the primary information shared and any case updates.

    • Action Items and Insights – Lists any suggested responses, action items, or insights drawn from the message.

  • Text Message:

    • Text Message Summary - Outlines the overall context and key points of the message thread in 2-5 sentences, capturing the main purpose of the communication.

    • Follow-Up Actions - Lists any suggested responses, tasks, or important points needing attention from the conversation.

  • All Other Note Topics:

    • General Note Summary – Provides a concise overview (3-8 sentences) of the information, focusing on key details, significant dates, and pertinent facts relevant to the case.

    • Important Points and Considerations - Lists any critical insights, suggested actions, or reminders that may support case progression or strategy.

6. The AI Generated Summary will display above the note body and be collapsed by default when accessing from the Notes preview pane. Click the down arrow to expand the summary. [screenshot]

AI Generated summaries can be filtered when conducting an Advanced Search for Notes using "Note Summary". Refer to Building Advanced Search Criteria for more information.

Update AI Generate Summary

If any changes are made to the Topic or Body of the Note, click the Refresh button or Summarize AI to regenerate the AI summary with the updated information. NOTE: All changes must be Saved to access these buttons.

Delete AI Generated Summary

AI Generated Summaries can be deleted from the Note preview pane or detail view.

To delete the AI Generated Summary:

  1. Click the trash can icon on the bottom right of the AI Generated Summary section.

  2. Confirm your intention on the Delete AI Generated Summary warning.

  • Click No to abort the deletion.

  • Click Yes to proceed. The AI Generated Summary section will be removed from the Note detail view and preview pane.
