When an Intake has been created, you can open it to view additional fields related to the selected Case Type, attach Documents, assign Checklist tasks, add Notes, and schedule Calendar appointments.
NOTE: You must have at least Enabled permissions to Intakes > My Intakes and/or Others' Intakes.
To view an Intake:
Click the Browse Intakes icon on the left navigation pane.
On the Browse Intakes tab, double-click an intake from the list view. You may also select an Intake, then click the View button from the right-side pane.
The selected Intake will display in its own Intake folder tab, similar to a Case.
If the Case Type was not selected when creating the Intake, a default Case Type of "NEOS" is used. The NEOS Case Type does not display the Checklist or Case Calendar tabs in the Intake. To access all Intake tabs and additional user-defined fields, you must change the Case Type. Refer to Change Intake Case Type for more details.
User-defined Intake fields are configured in the Intake Layout Manager by Case Type. Only fields that already exist in the corresponding Case Folder tab of that Case Type will be visible in the desired section of the Intake Layout Manager.
NOTE: The Activity Feed Tab is an NeosAI Platinum feature, however, all Intake activity will be displayed on the Activity Feed Tab once the Intake is converted to a Case.
The Intake Header Bar contains key details from your Intake. When "NEOS" is set as the default Case Type, only the Intakes, Documents, and Notes tabs will be visible. Because the LIM Date is linked to the Checklist tab, this field will display as "N/A" when tied to the NEOS Case Type.
Stage & Status – Displays the current stage/status of the intake. New Intakes are marked as Lead > In Progress by default. Refer to Intake Stage & Status for more details.
Intake # – Like Cases, Intakes in Neos are given a unique number used for identification purposes. The next sequential Case/Intake number will be automatically assigned. Cases and Intakes are assigned consecutive numbers as they are entered into the system, beginning with the number 200001. The Intake will retain this number whether it is closed, archived, or made into a Case.
Case Type – The Case Type is set at the time of Intake creation and can be changed at with the proper permissions. If a Case Type is not manually selected, a default of "NEOS" will display with limited functionality.
Source – This field is used to specify how the Party found your firm. Available options are defined in the Source Mini Directory. Sources may include Billboard, Referral, Social media or TV.
LIM Date – When the selected Case Type is Lim Applicable and the DOI (date of incident) has been entered, the calculated LIM Date will display. Refer to Modifying Case Checklist Items > Modify LIM Item for details on how the LIM Date is calculated.
DOI – Displays the date entered in the Date of Incident (Case) field on the Intake.
Intake Date – Displays the date the Intake was created in Neos. This information is automatically generated.
Taken By – Displays the logged in staff who created or imported the Intake.
Primary Staff – Displays the Primary Staff assigned to the Intake.
If the Intake is currently linked to an existing name in your firm's database, the linked record will display in the right pane. Any changes made to Party Details, such as SSN, Phones, Online Accounts, Addresses, etc., will automatically update that linked record.
To disconnect the Intake from the linked record, click the Clear record button.
Confirm your intention on the Clear record warning message.
Click the No button to disconnect the linked name from the Intake and KEEP all entered data (including Party Details).
Click the Yes button to disconnect the linked name from the Intake. Fields that are linked to the name will now be blank. Data in Role, Our Client, and User Defined Party fields will remain, as well as Incident Details and Marketing section fields.
NOTE: The Intake cannot be saved until another name or company is entered.
Click the Cancel button to abort disconnection. The current name will still be linked.
