When a checklist item is modified in the Auxiliary Checklist Directory, some changes will prompt a message when Save is triggered, while other changes will update immediately in the Case Checklist when Save is triggered.
NOTE: You must have Modify permissions to Directories > Auxiliary Checklist change Checklist items in the Auxiliary Checklist Directory.
To change a checklist item:
From the Auxiliary Checklist Directory, click the row of the checklist item you wish to change.
Click on the field you wish to change from the list or Details side pane.
Enter the new/revised information in the desired field.
Click the Save button to save changes.
Add/Edit Automations
With NeosAI Platinum, automations can be created from the preview pane of a saved Auxiliary Checklist item. To add an automation, click the + Add Automation button.
The Workflow Settings Tab will open where you can create an automation for this item. The added automation will be listed for this Checklist item. NOTE: Only automations that have a Checklist Trigger will be associated.
Click the pencil icon to view/edit the automation. Click the three-dot menu to delete the automation.
NOTE: Deleting the automation from this checklist item will also delete it from the Automations Directory.
Changing the Task name
When the Task Name of an Auxiliary Checklist item that exists in an open case is changed and Save is triggered, an Adding Checklist Items message will display.
Select the checkbox to also change the Task Name description in open cases where this checklist item exists.
Leaving the checkbox unselected, will only save the changes in the Auxiliary Checklist and apply the Task Name changes to future cases that include the Auxiliary Checklist title and all existing items.
Changing the Staff Role, Collaborators, Ref, or Days
When the Staff Role, Collaborators, Ref, or Days of an Auxiliary Checklist item is changed and Save is triggered, an Adding Checklist Items message will display.
Select the checkbox to also change the Staff Role, Collaborators, Ref, or Days field in open cases where this checklist item exists.
Leaving the checkbox unselected, will only save the changes in the Auxiliary Checklist and apply the Staff Role, Collaborators, Ref, or Days changes to future cases that include the Auxiliary Checklist title and all existing items.
Specific changes to each of these columns are further described below.
Changes to the Staff Role will only be reflected in Open or <Blank> case checklist items in OPEN or newly created cases.
Changes in the Ref column to COD (Case Open Date), DOI (Date of Incident) or any user defined case dates will add the item(s) to the case checklist in OPEN cases (when such dates have been entered in the Case tab), if the checklist Code does not yet exist, allowing the Due Date in the case checklist to be recalculated using the new reference date.
• If the Code already exists in the case checklist, the Ref column changes will recalculate the Due Date if the status is not marked 'Done' or 'N/A'.
• If the Case Date is not entered, changes to the Ref column will blank the Due Date of that case checklist item.
If the Ref column changes to a manual item (MAN), the checklist item will be added to the case Checklist tab of OPEN cases, if the code does not yet exist, with a status of <Blank>.
• If the Code already exists in the case checklist and the status is not marked 'Done' or 'N/A', no changes are required in the case checklist of OPEN cases.
If the Ref column changes to another checklist code, Needles will update the child item in the case checklist of OPEN cases if:
• The child checklist item exists, and
• The status is not marked 'Done' or 'N/A', and
• The new parent item exists, and
• The status is marked 'Done' or 'N/A'.
If the Ref column changes to another checklist code, the checklist item will be added to the case checklist in OPEN cases if it does not already exist, for each new parent that does exist and is marked 'Done'. The Due Date will get recalculated from the 'Done' date of the parent.
If the Ref column changes to another checklist code, the checklist item will be added to the case checklist in OPEN cases if the child item and the new parent item do not already exist in the case checklist. The Due Date of the new parent will be recalculated from its Ref date.
• If the new parent does not exist in the case Checklist tab, the ParentID will be blanked for the child item, however the Status and Due Date will not change.
If the Ref column changes to another checklist code, a duplicate child item will be added to the case checklist when the new parent is marked 'Done' in OPEN cases if:
• The child checklist item exists and the status is not marked 'Done' or 'N/A', and
• The new parent exists and the status is not marked 'Done' or 'N/A'.
• The ParentID will be blanked for the child item when the new parent does exist and is not marked 'Done'.
If the Ref column changes from a parent item to a user defined case date and the case date does not exist, a duplicate parent will be added when the case date is later entered.
• If the Case Date already exists and contains the child item in OPEN cases and the status is not marked 'Done' or 'N/A', then the Due Date of the child item will get recalculated.
Due Dates of checklist items will be recalculated if changes are made to the number of Days column for all items except for manual (MAN). Case LIM dates will also be recalculated.
Changing an Inactive Item
Checklist items that have previously been marked inactive can be reactivated by clicking the check box in the Active column in the grid.
Click the Active check box filter above the grid and click the Apply button to display all items in the selected Auxiliary Checklist title that are currently active. Deselect the checkbox and click Apply to show only inactive items.
